Q: Solved: Save all email addy's in Outlook, not only contacts.

Hi,
When you start typing an email address in Outlook 2007 it shows options to autocomplete the address from all the thousands of previous email addresses you've used in the past, not only those ones you've saved in your contacts list.

I need a solution to save all those 'extra' email addresses that show up.
I deal with sales and in one day I can send up to 1200 emails and saving each one would just weigh me down time wise.

If there's a program that will save these addresses please let me know, thanks.

Good morning all!

I just changed my email from Outlook Express to Microsoft Outlook. Anyone know how I get my address to automatically fill.

In Express I used to be able to start typing the persons name and it would come up by itself, I can't find where that option is in Microsoft Outlook

Hey i have a new PC, but i would like to keep using my old email address from outlook express. Now, i tried to set it up but i had no clue what i was doing, i dont know what POP 3 is and things like this. I have been going to comcast on the web and checking my mail, but i know i can use outlook instead, i just dont really know how to set it up, anyone know of a tutorial or can walk me through?

I just loaded Office 2003 for the first time and use outlook. I like outlook. I don't want to change software... just fix this. When I receive emails if I leave them in the inbox for more than a week or so, if I 'reply to', just the name as it was received goes into the 'To' box and not the entire address. Then I get a Check Names pop up that says outlook does not recognize that name - even if that is how I received the message.

I am sure there is a box to check off that I just can't find. Can anyone help me please?

I have Outlook 365 on my desktop for emails , calendars and contacts
I use Icloud for Windows to sync my Calendar and Contacts from iphone to desktop or from desktop to iphone.
Was seamless until a few days ago when trying to edit a contact on Outlook it would not allow me to save it
Error message was "Your changes cannot be saved because you don't have permission to modify some or all of the items in this folder. Do you want to save a copy of the item in the default
folder for the item?
I can edit the contact on iphone and it updates though to Outlook on desktop.
Calendar appointments (new and amended/edited) are seamlessly working both ways.
A new contact inputted onto Outlook icloud contact will save but if you then try to add a new number or note then get the above error message.

I am running Outlook 2003 with Windows XP. I have a rather large Contacts file, 1000+ names. When I start a new email and click the "To" button, I get the following message:

"The address list could not be displayed. The contacts folder associated with this address list could not be opened; it may have been moved or deleted, or you do not have permissions."

Yet, when I close the message box, another box comes up with a drop-down window that shows another Contacts folder. When I click on that Contacts folder, there are all my names. But I can't figure out how to make this the default folder so that Outlook will recognize names when I type them into the "To" line of the email. Anyone have any ideas? I'm sure it must be a pretty simple fix? Thanks in advance for help.

Hi missbe

In Outlook, Open the Address Book.
On the Menu toolbar, Click Tools > Options

At the top there will be a drop down arrow for: Show this Address list first:
Click the drop down arrow and select the Contacts list that you want to appear when selecting the To: field.
Apply, OK to save and close.​
Close the Address Book.
Reopen the Address Book.
The preferred Contacts list should now appear as the default.

Start a new message to test.
Let us know if that works for you or not.

I have Outlook, Office 2007, Vista on my personal laptop which is not linked to a network. When I enter recipients for an e-mail, usually by first name, a selection of e-mail addresses pops up. If I do not select one, the program selects one for me, and expands the name I entered to a name from my Contacts, with their e-mail address. Currently whenever I e-mail my friend Dan, the system either selects the e-mail address of my friend Dan that I e-mail often, or it brings up an e-mail address that I don't recognize and is not in any of my contacts folders. I have to remember to watch that it picks up the right e-mail address. I have had this problem also with friends that change e-mail addresses. The system will repeatedly bring up the old e-mail address if I do not remember to watch it and select the new address. These old and unknown e-mail addresses do not go away, and I have to watch what is picked up. These addresses do not exist in my contacts or address book. I've tried right clicking on the selection to see if I can delete the old, or unknown, e-mail address from wherever its coming from, but it doesn't do anything. Where are these addresses coming from and how do I get rid of old and eroneous addresses in this file so they aren't picked up accidentally?

Hi BlueCat29,

The names are coming from Outlook's auto-complete cache.

When the list appears, use the cursor down-arrow to move to the name you want to remove, then press delete.

This is good to do when Outlook has remembered a previous invalid name.

Alternatively, to clear the cache completely you can delete file OUTLOOK.NK2.
Start button then select Run and then type %APPDATA%\Microsoft\Outlook and press OK
Delete the above file from the list that appears.

Hi, I was hoping you could help me with something. I have lists of names and emails in excel spreadsheets and I have to upload them in to an outlook address book. So i have to make them contacts. The problem is only some will upload and save. For example there are more than 1,000 emails and only 400 will save as contacts. It gives an error message saying there was a problem saving them. I researched the problem and it says there might be an issue with the format of number 301 so it said to delete it which I did but it still does not work

I recently had to do a complete recovery on my IBM and have restored most of my back up files except for my CallWave answering machine.
When I try to send them (CW) a message from their site, as is recommended, I write the message, put in my email addy in the required spot, hit submit............and instantly get a pop-up message from MSN Explorer "Please enter a valid email address".
I've erased and written it in again and again, just as it should be but this disgusting pop-up won't let me send my message for help!! I have IE........is that the same thing as MSN Explorer? If so, I've never had this problem before.

Will a print out of the contacts include ALL of the "tabs" of information, or does each one have to be printed separately?

The easiest way is to just copy the entire Outlook PST file to any other computer. Then configure it to use that file.

Is it possible to save outlook contacts without opening the program?

My mom DLed a virus that has crippled everything, and since the computer needed to be reformatted anyway, I want to just save her files & start over.

I basically can't use any programs except folders, otherwise I get spammed with alerts & BS.

Any ideas?

Unless the virus directly affected them, you should be able to copy the Outlook files containing your mom's Outlook contacts lists, e-mails, etc. to another drive without opening Outlook. The exact locations and file names used will depend on the versions of Windows and Outlook that are being used.

A:Outlook 2000 Contacts files, where and how to save

Search for the .wab files. This is the windows address book. It's usually in the Windows folder, but it may be best to do a search. There may be more than one. When you find them you should be able to put them on a floppy or burn to a disk if too large.

Once upgraded to XP, just replace the address book under her user name in the Documents and Settings folder. You may also need to do a search for the location.

I need to create a contact from a message. The way I do it is, I right-click the name and select Save as contact. This works great but it just gets saved to my default personal contacts.

What I want it to do is save to a contact folder I've created inside my default folder....is there a way to specify which contact folder it gets saved to?

You can try going under Help and clicking on Detect and Repair to try and fix any problems. Sounds like you have a corrupt file. Have you done an update to Office 2003 lately? Just wondering if that might have caused the problem.

How do you have your contacts formatted in Word?

I know you can import contacts into Outlook via a .csv file.

You could try saving your word doc as .txt and then importing into Excel and then exporting as .csv (you'll have to play around w/ the formatting.

At this point, you should be able to import into Outlook.

I think what you are refering to is the 'outlook cache' If you type in the name (or maybe even select it from the 'To:" it will then go into the cache and start popping up when you type a few letters??

Hi all. I guess my post a few days ago wasn't clear. I said that I have a user that wants to be able to have the company name appear instead of the person's name when she opens the address book and choose contacts. That was wrong. Here's the real problem.

When this user creates a new mail message and clicks the To... field she wants to be able to choose the Contacts folder from there (in the drop down list) and have it show business names instead of individuals names. Is this possible?

HELP

I switched on my computer and left it running all day, only to get on in the evening to open up Outlook 2000 and be asked the question to either create a pst file or use an existing one. I run Windows XP Pro SP1 at home, so no exchange server. I tried to open up my personal folder pst file and it was corrupt so I used a tool I found on the internet to repair the pst file which it seemed to do (don't know the name of the program). Anyway, when I got into it, there were no emails at all in my inbox and deleted items folder which the day before had loads of emails, my shortcut folders were still there but with nothing in them, and funny enough, all my sent items were still ok. Also gone were my contacts. I looked at all the pst files in the outlook folder of the Application Data of my user profile under local settings and notice that the personal folder was only around 75Kb when it should be at least in the few hundered mb I would have thought.

Also, if I choose my personal folder which I assume is the one that had all my lost data, the next time I turn the computer on, I get asked the same question again - create new or select an existing pst.

Any ideas? I really need to recover the lost emails and silly me has forgotten to backup.

I have Outlook 2000 SR-1, and use Windows XP Professional, Version 2002, Service Pack 2 (to the extent it is relevant). When I go to address an email by scrolling down the list of contacts that show up by clicking on the email "to" button, only some of my contacts come through, despite the fact that all of my contacts contain email addresses. I have checked the Microsoft website, and their fix on this (OL 2000 (CW)/Q197907) for Outlook 2000 is limited to Outlook installed with the "corporate or workgroup" option, which mine is not. I was unable to find any additional help for this version of Outlook and would greatly appreciate any insights. Thank you very much.

Welcome to Tech Support Guy Forums!

Do you have more than one Contacts folder in Outlook?

Open the Address Book in Outlook, are there folders or groups listed under Contacts?
If so, look in each to see if the missing Contacts appear.
If Contacts appear in other folders, you can Copy them to the main folder.

When using the To: button, you can also click the drop down arrow and switch to the other folders (if they exist) to select those Contacts.

Hi All,

I'm new here and searched for the above and couldn't find a related post so I'm posting a new one. I have an Executive Administrator(EA) who needs full access to many of the Executives Contacts and Calendar lists and even replies to emails on their behalf. For the above reasons she has those executive user accounts on her Outlook for Mac 2016 client.

If the EA was using Apple Mail she could have setup the Exchange accounts and uncheck the "Mail" option for those Executives that she doesn't need to support in this way(please see screenshot attachment). Is there a way to do this in Outlook for Mac 2016? I know we can use delegates but this makes setting up meetings for her EA's difficult (she can't drag and drop meetings around for example).

She also want's to suppress all those contact lists when she's composing an email from her Outlook Email composer. Any help would be greatly appreciated!

Within 3 weeks I have 3 contacts that I cannot receive email from. One is my mom so she was pretty upset not understanding why I don't reply. Come to think of it she & the other 2 contacts have yahoo address. I am with cox and they checked my webmail and the emails never made it to the webmail. Cox said it has to be an Outlook issue. Of course Microsoft is telling me it's a Cox issue! UGH Please help.

I'm running Outlook 2003 on Windows 7 64-bit. Transferred emails and contact info from Outlook Express on Windows XP. Two .pst files: Rick.pst and Fish.pst. Therefore, two contact folders. Both contact folders are attached to the OL2003 address book, both appear properly when I want to grab an address to put into the TO: field of a new email.

However, when I receive an email and right click on the sender's name, the context menu doesn't include an option to add the sender to the Contacts file. Also, if I reply to the email, the sender's name but NOT the sender's email address appears in the TO: field of the reply. I then have to manually enter the actual email address or (if the person is in the Contacts database) select them from the address book.

Would appreciate help on this. Thanks.

I upgraded to a new laptop that came with Vista and Outlook 2007. Since that time I am experiencing a glitch when I try to send an email by a) clicking on the TO button and selecting a contact, or b) typing in the contact name (rather than the contact email address).

When I do either of those things, Outlook cannot send the message and the "Send/Receive" dialog box starts flashing and appears to be attempting to send the email over and over again ... the number of times just builds and builds. It never does send the email and I can only stop the flashing by shutting down my computer and restarting. I can't edit or delete the email sitting in the outbox - I get the message that Outlook has already started sending the message.

If this happens with an email to a distribution group in my Contacts, it will send the email to some, but not all of the recipients (maybe stalling when it hits the email it doesn't like?)

Once I have sent an email to an individual by manually typing in their email address in the TO: field, it seldom happens again when I email to that individual. The randomness of this problem is driving me insane. I send emails all day long and often to groups of people.

I've tried rebuilding my Outlook profile, I've tried exporting my contacts as a tab delimited file and then importing that file. Under Contact/Properties, the "Show this folder as an email address book" is greyed out.

Any help would be greatly appreciated.

Got an Acer with Vista & Windows Mail -- my old Dell had XP Pro and Outlook. I had no problem backingup Outlook to a Seagate external and connecting it to the Acer .. but Windows Mail does not seem to import Outlook .. only Outlook Express. My wife's computer has Outlook Express .. so I thought I would email her my backup file and import it to Outlook Express and then back that up and email it back to me and import that to W Mail ... but the email will not transmit with the backup file attached "not enough memory" the backup is 1.5m.

My next strategy is to go into my old computer and edit folders or do a few partial backups so I get a small enough file(s) to attach to email.

Any other suggestions ...

I have a friend with Adelphia as her ISP, and her daughter had set up a Yahoo addy but has since moved away. She has called Yahoo and deactivated the addy,but apparently it is still on her computer.I think she is using Outlook,but not sure. Often when she will send me an email and I reply,it will be returned to me because it will be the Yahoo one. How does she rid herself of the addy? Thanks Keith

Is the e-mail that she sends to you show that it was sent from the Yahoo account? It is usually possible in e-mail client software to give a "reply to" address that is different than the senders address. This may be the case for your friend.

The incoming e-mail message header will usually show what e-mail software was used to compose and send the message. You should be able to examine the header to determine if your friend is using Outlook.

In Outlook Tools menu -> E-mail Accounts ... there is an option to View or Change Existing Accounts. You can then Remove any old accounts from the list.

This is just a hypothetical question.

Let's say you have a computer that was just hosed by a virus. It may or may not boot entirely but the bottom line is that you are unable to open Outlook Express the way you normally would.

Is there a manual way to get a copy of the contacts and accounts out of it without having to run the program and tell it to export a copy? I've read tutorials about extracting the email (from that hidden Application Data director or whatever).

On the side, this person is also wanting to import all of this stuff into a fresh copy of Mozilla Thunderbird, in Linux.

Windows 10 running Outlook 2016. When I did a fresh install I set up 3 email address and added my .csv files of contacts and calendar form prior install. I did not pay attention and Outlook 2016 assigned them to an email address I now wish to get rid of.

Did a web search and didn't come up with a good reliable way to transfer the folder to another email address PST file. Any ideas appreciated. Thanks.

When i partially type in the name of the person i want to send an email to, it either auto completes it, or shows me a bunch of names i can send it to. This is all fine and normal, but All of a sudden today, when it gives me the names i can send it to, there are 2 copies of each name. when i open the "addresses" tab, there's only one entry. so why, when autocomplete shows me names are there 2 of each?

i need some help on a page for Pre Reg form, i need to get a command so when i press submit it goes to a email addy but i dunno how to do it, i did 1 a while ago but dont have access to that site anymore....can anyone help please.....thanks in advance

When i partially type in the name of the person i want to send an email to, it either auto completes it, or shows me a bunch of names i can send it to. This is all fine and normal, but All of a sudden today, when it gives me the names i can send it to, there are 2 copies of each name. when i open the "addresses" tab, there's only one entry. so why, when autocomplete shows me names are there 2 of each?
i use OE6.0

I'm using HOtmail in Outlook Express. Is there a way to forward an email to several people without each persons email addy showing up? Don't know if that's clear - but what I'm trying to do is pass a msg along to a group of people without each person seeing who else got the msg.

Hi,

Copy the e-mail into a new e-mail.

Address it to yourself at another e-mail address or possibly your Hotmail address and then put all the e-mail addresses of all the other people you want to send it to the BCC field.

Now send the e-mail.

None of the people you send it to ( in the BCC field) will see the other peoples e-mail addresses.

You could also look at groups in Outlook Express.

One problem you may have is that your ISP may see an e-mail you are sending to numerous people as attempts to send spam e-mails and block it / them.

In Outlook I select "Tools" then "Accounts" then my account listed & select "Properties".

On the "Servers" tab I can enter a "Password" & select "Remember Password".

Then Select "OK". If I re-enter the Properties / Servers tab the password is gone. It was not saved & "Remember Pssword" is still selected.

Every time I open Outlook it asks me for my password. I would like it to remember it instead.

Any assistance with this will be greatly apperiated.

I use Microsoft Outlook for my emails.
Lately it does not save a copy in the SENT folder.
How can I fix this?

I have windows live, but the two systems are similar.
On windows live
Tools
options
send
check the box to save to sent folder

Look around there is something very similar with Outlook
I had outlook express, windows mail and windows live mail all the same and all by microsoft.

how can I empty and save email in my out look express folders in Windows XP Home O.S. and be able to acces and vue them later on. There is some good information in them I don't want to loose like eWEEK's eNews & Views and others I get.

Greetings gary lamar, and Welcome to TSF,

What I have done with ALL my emails is.....I created a specific folder called 'Emails', and this is on my D: partition, well and truly away from the O/S just in case the inevidable happens...[A Crash!!]..and it has too.

Now to put your emails into your 'new' specified folder..do this....Open the email, and on "File", go 'Save As' and navigate to your 'New Emails' folder and save them there..Hey Presto, they're saved for all time.
Once you've saved them all, you can confidently delete them from Outlook Express, as they are in the other folder anyway.

EDIT: Another way you can do this is... create the specific folder on the desktop, and then copy the folder from the desktop to CD.
