Can someone tell me the name of the file (I know it is not in the PST file) that Outlook 2003 uses to store the email address that automaticly populate the TO: field when sending an email??

I have a situation where someone has 2 email addresses. One of them is now redundant and I have deleted it from the People section. However, when I am set to make a new email to that person and type the first letter of their name, in the pop up window (that you can click on) their old email address still appears.
How do I delete this from that list? Can find no way to do so.

In new email, start typing the address you want to remove. When you have enough characters for auto complete to show it (sometimes one letter is enough), use DOWN ARROW key on keyboard to select the address in question and press DEL key.

Hello.
I have a large email group - over 200 names - in Outlook Express Address Book. A number of outdated email addresses bounced back to me. I wish to remove them from my Group. But OE seems to list only names, not email addresses. I cannot find a way to search by email address. Therefore I am faced with the task of looking up each name's properties to see if it's the email I need to eliminate.
Surely there must be a better way!
Or should I just find a better program to use? If so, suggestions?

you can always use the contact search bar at the top, enter the email, then that corresponding contact should appear. delete that contact and it will be deleted from any groups.

Is there a way to gather all email addresses (either from, to, or cc) in a particular email folder in Outlook and store them in a delimited file? Alternatively, is there a way to add all email addresses from all emails in a particular folder to Outlook Contacts or to the Outlook Address Book?

My problem is this: my phone number is changing and I'd like to send an email to everyone who has either sent me an email or to whom I've sent an email announcing the change.

Any other way to solve the problem?

I'm running XP Pro and Outlook 2003 (11.8217.8221) SP3.

Yahoo imports: Microsoft Outlook (CSV File).

There is nothing in the address book that allows you to export, so under MS 2003 Outlook they is nothing that permits me to export to CSV. I suppose I need an upgrade but I am selling my business and don't want to spend the moeny right now for that.

I want to send an attachment file to many email addresses at one time, but when I sent it to them, I just want each person's email see only his or her email (as like as -->To: [email protected] in his or her mail only) that I sent for the person.

We are on a exchange server here in our building.
And one person is having an issue with her outlook.
When typing in a address that she has never done before she would have to hit the Check address button. It would then find the right name in our contacts on the server.

She could do this one day or right now and add them.
Then cancel right out of the email and go right back in and start typing the last name and it fills.

But she says she has done this yesterday and today you can not type in the last name you would have to hit the check address button for it to go out and find.
I did add someone in on 5 days ago and they are still available.
But like i said the one she did yesterday is not.

Is there any registry fix or removal to get this working?
I have done a repair on the Outlook, but still the same.

It's possible that the person originally entered a space or something before the recipient's name. That has happened before at my job. Then when the end user enters the correct recipient name, it isn't found.
To fix this issue, you need to have delete the recipient's incorrect name when it is auto-populated in the To: field.

New to Outlook XP. When i enter a name in to the "To" line, SOMETIMES it fills in the persons fax info instead of their email address. This is no big problem, but is there a way to configure Outlook, when addressing a new message, to only suggest/fill in, the email address of the contact?

I have to deal with this situation all the time.

Outlook will show you all of the email addresses and fax numbers, etc., for a given contact in a list (Contacts or a file or folder which is a sub-folder or file under Contacts.

My solution, at work, because I need to be able to send: email, individual faxes, and use an email service to send broadcast faxes (faxes of the same content, like a Request For Quotation, to many6 recipients), my solution has been to create separate folders under Contacts. Then, in any one contact, I have only the email address or fax number, or email address for broadcast fax. In fact, I include only the fields in the contact that I need. So, in email, there is just the name and the email address. In the set of folders for broadcast fax, the contacts contain only the name and the emailaddress that the fax service wants. In the fax foldr, I use complete addresses, phone numbers, fax number (only one), but no email addresses.

This is, admittedly, a lot of work, seemingly a lot of redundency. But, then, when I need to send something, I have no doubt about what number or address I am using.

I added 2 new sub-accounts to my ISP and then added them to Outlook. When I send an email FROM one of the new accounts to one of my older accounts I get the email in my Outlook Inbox. However, if I send an email either from the new account to the same new account or to the other new account I don't get the email. Verizon did all sorts of back checking including removing the account from Outlook and then re-adding it. They went so far as to start up Outlook Express and set the accounts up in there at which point they worked! This is the point they told me it is the application Outlook that is the issue and to call Microsoft. Also, the sent emails all appear on the Verizon web based email pages. I did the Microsoft test email and got all green check marks and NO error messages. The test emails do not come to Outlook but they do appear on the Verizon webmail page .. argh! Microsoft wants more of my money to resolve this malfunction and I am loathe to pay them .. Can anyone help!?

Ever since I migrated to a new machine running Vista, Outlook is not saving my passwords for my email addresses even though I have checked the "Save Password" box.

The passwords are lost whenever Outlook is shut down.

When I bring Outlook back up the "Save Password" box is stillchecked but the passwords are all gone. Of course I get errors when email tries to download. This is very frustrating because I handle a lot of email accounts and it takes time to keep re-entering the passwords.

I am trying to get OUTLOOK to autocomplete when I start to type in an email address like Oulook Express always did for me... Cant seem to find how to enable that feature... Any thoughts or ideas??

I have done quite a few office 2000 business addition installations, but this one has me stumped. For some reason even after email addresses have been put in to the TO or CC fields and sent, when starting to retype those same names they are not auto populating. Any ideas?

My first thought is the Outlook.nk2 file. If it doesn't exist, i don't know if it will recreate itself or not. I do know that this is the file where outlook saves the auto complete addresses, and the path to the file should be:

C:\Documents and Settings\user\Application Data\Microsoft\Outlook

But, before messing with that i would look through the outlook email options. In outlook 2003 go to tools, options .... on the preferences tab click "email options", in the email options window click "advanced email options", and then there is the option to "suggest names while completing To, CC and BCC fields" . So you'll want to find the similar option in outlook 2000. if this option is turned off, turning it on may force the creation of the outlook.nk2 file. if not you should be able to create it yourself or copy it from another system or user profile. hope that helps, as i don't have a system running outlook 2000 available to test it on.

I cannot find a way to export email addresses only from one of my contact groups. It seems that the only thing I can do is export all of the contact information for all of my separate contact groups. This is unusual as Outlook on my pc allows me to do this relatively easily. I have over 3,000 contacts and I need this to be automated. Right now I am looking at importing my whole contact list to Excel and from there hand selecting the email addresses I want to export to a separate program not affiliated with any apple or microsoft product.

Hi, my name is Kyle, I am new to this Forum.

I have seen a similar post which seems to be the solution to the problem I face, however, I cannot post on the topic for some reason - I would assume because it is marked as solved.

I needed to post in the topic for clarity, as I do not quite understand how to use the solution. I also cannot send PM's or Personal Emails and was told to not post Tech Questions within the Visitor Message section on a User Profile, so I have not been able to contact the user that offered the solution directly.

Therefore I am creating a new post.

I'm in the middle of capturing data - data in the form of emails dating back to 2009. This data is required to create a email database of all our previous and current clients.

Currently I am manually going through every email contained within a folder in my inbox and entering each email address into an excel sheet. This is incredibly time-consuming, as one might imagine and of-course I would like the quick-fix solution.

In the solution offered in the aforementioned post http://forums.techguy.org/business-applications/864373-solved-save-all-email-addys.html, there was reference made to software called NK2, which, by the sounds of it, I can somehow use to extract these email addresses and then import them into an excel database - problem being that I do not know how to use this program.

I would love for someone to guide me through the process!

Appreciate your help in this area of my project. I am new to this interface; have tried this vba script from your website and I managed to import the contacts and create the distribution list. In the Outlook address book; I notice I have duplicate record of the same contact e.g. Fitz Bob (email address) and Fitz Bob (Business Fax). During the creation of the Distribution List my Outlook display the email address on the Name and Email columns.
My objective is using the excel worksheet to import the contacts into the distribution list in Outlook.
Appreciate if you can let me know where my mistake is.

My computer died and I am accessing my hard drive using 2.5 " USB 2. IDE drive enclosure to obtain Outlook messages and email addresses to download to a new computer. What version of Windows was used on the old drive and what version of Outlook was being used. Are you using the same versions of Windows and Outlook now?

Is the old drive NTFS or FAT32 formatted?

I have been trying to export my email address from Outlook 2004 to Gmail. Gmail wants CSV or VCard files. The only way I can figure to export it is to a .pst file.

Maybe there is a way to do it that I don't know about?

I am using Outlook 2003 but this may work for you ...

1) Open up the Contacts section on the left side of the main Outlook screen

2) Click on File in the menu bar and select "Import and Export ..." from the drop down list. That should open an "Import and Export Wizard" dialog box

3) Select "Export to a file" as your action choice and click the "Next" button.

4) The wizard box will change to show a list of file type. Choose either Comma Separated Variables for DOS or Windows (not sure what the difference is) and click next.

5) You will then be able to chose which group of contacts you wish to export and click "Next".

6) Enter a file name you wish to use and browse to the location you wish to save and click Finish.

I installed Outlook on another computer and can't access any of my contacts. I guess Outlook does not save the contacts automatically when I send someone an email. How is the quick search address installed. I think it is when I send and email to someone it remembers their address and then I can just type in the 1st letter or two of their name and will show me the email address. I replaced the PST file with the old PST from another machine. If I put some contacts in my address book shouldn't I just be able to start typing their name in a new message and the email address show up. What is the cheapest/best program for extracting email addresses in outlook from inbox/sent messages. It doesn't seem like the address book is talking to sending someone and email like it does in hotmail,Gmail. Any information would be much appreciated. Thanks.

I have a MSN account but I found free dsl (check my signature) I wish to cancel my MSN account but I am sure that this will cancel my email account with them as well.
My question is, can I use outlook to pick up a diffenrent email address? say hotmail or yahoo? or would I be better off downloading eudora or something like that? Or do you even know if I would be able to keep my msn email account even if I got dsl. I dunno, oh I should probly add I am just a novice with computers and the like, so please...be gentle

I'm a real newbie to this forum, so if I have posted this in the incorrect location just let me know. Thanks -

When I create a new email and begin to type in a name, for example J, a window/drop-down appears and shows me 3 names that begin with the letter "J" and the next name shown begins with the letter "L". Since I actually have 26 names that begin with "J" why can't I scroll down the list and pick the one I want?

If I double click on the "To" it will bring up my address book and then I can type "J" and it will show me all the "J"s that I can choose from. However, that is obviously another step to go through that wastes time. Is there an option I need to check to allow the first window/drop down to show me more options, or another solution?

Thanks in advance for any information you can provide to solve this problem for me.

Hi Ron, maybe I'm missing something, but the more letters you type, the narrower the field becomes.

So for example, if I start off with "L" all the names with L will pop-up, as I type the second letter, LI, all the names with LI will stay and everything else drops off and so on. That's the way the "auto" feature is designed to work.

The other way you could do it is just type the entire name in the To box and hit Check Names and the box that opens will have a list of all the people with that name, then you just choose the one you want.

I use Outlook 2003 and have set up two hotmail accounts for it to display. Each of these hotmail accounts has its own distinct set of folders. My problem is that on a regular basis (but not always) Outlook automatically substitutes the secondary hotmail accounts files and contents for the primary account. The net result is that it displays the two separate hotmail accounts but with duplicate content, both of which are for the secondary account. So in order to access the emails from the primary account I have to open IE and go to hotmail.com.

Using Outlook, I have checked Tools, Email Accounts and the settings for both hotmail accounts are properly listed. Any ideas?

Using Outlook 2003 when sending emails the predictive completion of email addresses is using address book email addresses which have long been deleted from Contacts. How do i get the predictive function to use emails from contact data base not old obsolete email addresses from Address book.

I switched over from OE to Outlook 2000 and I had a question about auto-fill email addresses.

In OE I could start typing a name, say Joe and OE would automatically fill in as I typed the name if it was in my address book. So instead of typing joe smith, I could type jo and joe smith would be filled in.

Does anyone know if Outlook 2000 will do this same thing? I have looked everywhere for answers and I can't find anything.

I'm running Outlook 2003 on Windows 7 64-bit. Transferred emails and contact info from Outlook Express on Windows XP. Two .pst files: Rick.pst and Fish.pst. Therefore, two contact folders. Both contact folders are attached to the OL2003 address book, both appear properly when I want to grab an address to put into the TO: field of a new email.

However, when I receive an email and right click on the sender's name, the context menu doesn't include an option to add the sender to the Contacts file. Also, if I reply to the email, the sender's name but NOT the sender's email address appears in the TO: field of the reply. I then have to manually enter the actual email address or (if the person is in the Contacts database) select them from the address book.

Would appreciate help on this. Thanks.

Hello,

We send out emails to people that have signed up to our website but not completed the process.

We then receive loads of failed emails due to incorrect addresses, closed addresses, over quota etc.

Currently we have to search each failed email, get the email address and search for that on our member database.

This is very time consuming so I have spoken to our web designer who states that if we could get a list of the email address from the failed emails then he could bring up all the data we need.

So the question is can we automatically search the failed emails and create a list of the email addresses.

I have a third party management software that is capable of sending emails through Outlook. It grabs the addresses from Outlook. When I click the email integration, the following message appears: a program is trying to access email addresses you have stored in outlook. Then I will have to choose how many minutes of access are needed.

Are there tweaks to bypass this meesage and give full access to the address book? I've already found 3rd party warez, such as "Click Yes".

I set up a new domain and made two new email addresses for it. The domain is hosted at Hostgator.

I set up accounts in OE for both email addresses. When I test them, I am able to receive emails sent to them, but I can't send emails from them. When I try to send from them, I get this message:

The connection to the server has failed. Account: '[email protected]', Server: 'mail.burnlessfuel.com', Protocol: SMTP, Port: 25, Secure(SSL): No, Socket Error: 10060, Error Number: 0x800CCC0E

I spoke to Hostgator support. The problem seems to be with OE because they told me that both sending & receiving to these addresses works fine when they test them by accessing them online (with Squirrel or the other online options they have)

Any idea what is wrong & how to fix it? Thanks.

Try setting your SMTP port to 587.
Tools>Accounts>Mail tab>click account name>Properties button>Advanced tab.

Edit: Just double checked on the port and it should be 26.
Also on the server tab of Properties, place a check by "My server requires authentication".

Has anyone ever seen the message "A program is trying to access email addresses stored in Outlook. Do you want to allow this? If this is unexpected, it may be a virus and you should choose "No""?

It happens everytime you try and create a new email message on one machine only. We have tried running AdAware, and removing everything from the startup.

Anyone come across this before?

What I'd like to have happen is when I click an email address on a web page is to have Firefox go to gmail.com and insert the address in a new email message. The way it works now is that I click the email address and it immediately opens Outlook and plugs the address in there. Is there a way to get it to work how I'd like it to?

I am trying to setup my Outlook at home for multiple email accounts, and while the end result is close to what I want, the security seems a little suspect. Here is the background information: I am running Windows XP, with one user account. I am using Outlook 2002 SP3. I have three email accounts, all of which originate from the same ISP. What I WANT to have happen is that I have a separate Outlook login for each of my three email accounts, after I log into Windows with my one user profile.
Here is what I setup so far: Using the Control Panel/Mail application, I setup three separate (mail) profiles, and selected the option for ‘Prompt for a profile to be used’. Also, there are three separate data files which are associated with each of the three email addresses (Outlook1.pst, Outlook2.pst, Outlook3.pst). As far as I can tell, all that setup is correct. When I open Outlook, immediately – before the application finishes loading – the ‘Choose Profile’ prompt box appears on the screen and forces me to select one of the three that I setup previously. So far, so good. Now comes the part that does not make sense to me. No matter who I am, I can select any of the three profiles, and the next action that occurs is for the inbox to open. You have not supplied a lot of information. Are you trying to change the email address of one of your contacts, or are you trying to change one of your email accounts.

I've seen this a few places on the web but have fond no answer.

XP, MS Outlook 2003

I list a name and address n the TO field, ie, john doe <[email protected]>
I copy the whole john doe <[email protected]>
I paste it into the text box or a word doc and get only "john doe"

I've been told that if I make my Outlook display name = john doe <[email protected]> it would then copy the whole thing (including email address). It doesn't.

I once read that Outlook doesn't recognize < >. I use Yahoo for personal mail and I often need to transfer there, so prefer to keep my emails in this format.

I know you can go to "properties" and gather the email address (all the posts say this), but if I click on the name in the To field, the "Email Properties" gives me a display name that does NOT include the email address--though the display name in the address book does. I like to copy both the name and the address at once and this takes two steps. If I go to the address book, hit Properties, then, yes, I can get the full john doe <[email protected]>. That is obviously cumbersome for multiple names and I find this an unacceptable solution.

Surely some computer whiz has bypassed this asinine malfunction and created a program that allows you to copy an email address in a mail program!! To say it's like creating a car w/o a starter motor doesn't seem far fetched.

Is there anyone out there that can help me?

I've recently got a new laptop - it has windows 7.

I need to transfer my email contacts from my old computer to the new laptop - I use it for business and I have hundreds of email addresses that have always auto-completed (if you get what I mean).

Outlook on the new laptop doesn't auto complete the email addresses.

I've done a google search for help and I've found this link (VERY USEFUL!)

BUT it doesn't work - the files on windows 7 are different to I can't complete the last stage.

Anyone out there that can help?

Are you sure your doing it correct ? I've just tried it from my Vista lappy and copied it on to my Win7 rig (different user accounts) and it worked fine.

Make sure you copy it from

C:\Documents and Settings\oldname\Application Data\Microsoft\Outlook

to

C:\Documents and Settings\newname\Application Data\Microsoft\Outlook

substitute red text with the correct names

I have Outlook, Office 2007, Vista on my personal laptop which is not linked to a network. When I enter recipients for an e-mail, usually by first name, a selection of e-mail addresses pops up. If I do not select one, the program selects one for me, and expands the name I entered to a name from my Contacts, with their e-mail address. Currently whenever I e-mail my friend Dan, the system either selects the e-mail address of my friend Dan that I e-mail often, or it brings up an e-mail address that I don't recognize and is not in any of my contacts folders. I have to remember to watch that it picks up the right e-mail address. I have had this problem also with friends that change e-mail addresses. The system will repeatedly bring up the old e-mail address if I do not remember to watch it and select the new address. These old and unknown e-mail addresses do not go away, and I have to watch what is picked up. These addresses do not exist in my contacts or address book. I've tried right clicking on the selection to see if I can delete the old, or unknown, e-mail address from wherever its coming from, but it doesn't do anything. Where are these addresses coming from and how do I get rid of old and eroneous addresses in this file so they aren't picked up accidentally?
 

A:Solved: Outlook picks up Email addresses not in Contacts

Hi BlueCat29,

The names are coming from Outlook's auto-complete cache.

When the list appears, use the cursor down-arrow to move to the name you want to remove, then press delete.

This is good to do when Outlook has remembered a previous invalid name.

Alternatively, to clear the cache completely you can delete file OUTLOOK.NK2.
Start button then select Run and then type %APPDATA%\Microsoft\Outlook and press OK
Delete the above file from the list that appears.

I inadvertantly deleted all of my saved email messages and address book when I deleted myself as a user in control panel/users (I was trying to deal with a Windows password that I could not remember).

When I re-created myself as a user on my computer, I found that all of my saved emails and my address book were no longer present in Outlook Express 5.0. Is there any way to retrieve this information? I'm using Windows 98 SE.

Is there an easy way to backup the "auto-populate" list of email addresses from Outlook Web Access?

This is the list that will auto-populate a previously used email address when you start typing in the "To" box. I know backing up the *.NK2 or *.N2K files will do this for the Outlook client itself, but if a user only uses web access, how can this be done?
