Q: Solved: No Contacts folder in Personal Folder Microsoft Outlook

I had a crash and the operating system had to be restored non-destructively. The backup operation saved the Microsoft Outlook .pst file. I have now recovered all the e-mails but the Contacts folder is "empty" when looking for an address. The Contacts folder (as well as the Calendar folder) also does not appear in the list of folders in the Navigation Pane. If I attempt to export a comma separated file (DOS) from the Personal Folders, the "Contacts" folder appears in the window when browsing for the folder to export. If I export that file, all the contacts are there complete with all the addresses when viewed as an Excel file. Any suggestions on how to integrate the contacts into the Personal folder without having to recreate a contact file manually from the Excel file? Cheers, Wondering Willy

As I left my previous employer, the IT manager exported my contacts into a .pst file. I used Outlook 2003 at work. When I go to import the file at home (also OL '03), it comes in as a personal folder (email folder?) and is empty. The file itself is ~250k so I know it's not empty. How can I import my contacts into Outlook on my home computer?

256k is an empty pst file. If it was larger I would tell you to click on "contacts" because you are in your "mailbox" and cannot see contacts within there.

I can't get rid of that extra personal folder that is in my folder list.
I have outlook 2k3. I tried deleting everything and then re created a pst file but linked it to my backup one and still creates and extra personal folder.
I use to have 2000 a few years ago and i remember there was some weird thing about converting it.

I'm trying to copy (not move) a category of contacts in my contacts folder in Outlook to a subfolder. Is this possible? (Please note that the contacts in this category are also in other categories as well, if that makes a difference.) It's not giving me the option to copy unless I copy the entire contacts folder, which I was going to do and then just delete the contacts I didn't want, but it won't let me copy all my contacts to a subfolder. Help!

First time poster here.
I have 4 separate contact folders within my Personal folder. One being work, other being FD, etc. I want to copy all my contacts from one sub contact folder and paste them into the default Contact folder. I cannot find an easy way of doing this and would greatly appreciate a step by step solution

Is there a way to remove this duplicate personal folder? I can create a new profile and that doesn’t have the duplicate, but I don’t have my address book in that profile and I don’t think that there is a way to extract the address book from a PST file is there? I checked the data file and there is only one PST file there. Anyone have a suggestion?

I've just formatted my computer and restored my personal folder (.pst file) in outlook before setting up any e-mail.

I've setup my e-mail after that, but then outlook creates a new personal folder for it, and that's not what I want. I'd like to receive mail in my old personal folder.

How can I do that?

To start off the computer in question is running Windows XP and Microsoft office 2007. I am in the process of resolving this issue as stated in the title that the user did not come across until recently when Outlook had locked up on him and he was forced to improperly close it down. The problem im coming across is that everytime he starts outlook it takes the system around 45 minutes just to analyze the data file all the while not being able to do anything at all in Outlook. The long loadup time I understand because he has an amazing 81,000 emails. The problem arises after the check is finally completed, Outlook opens and as soon as I attempt to erase files immediately, he begins receiving the emails that he has missed out on for the past week which is around 150 MB. This in turn causes Outlook to lockup for some unknown reason and became a vicious cycle. We then opened up outlook in safe mode and deleted about 60,000 emails, then reopened outlook and managed to receive a few days of missed emails. During this process it locked up again and we are back at step one and waiting for it to analyze the data file which is actually taking longer than previously stated when the file was much larger. Any suggestions would be great, I've done a lot of searching around and couldn't find an answer I found sufficient to my own personal problem. I have always had success asking you guys here so thanks ahead of time for anything that you can contribute.

Let me apologize that it took so long for someone to reply to your request - but it is now active and I think we'll be able to resolve it. In fact, I think I have just what you need.

Check out the following article: Importing contacts from Windows Contacts folder | MSOutlook.info. Make sure you use the Vista procedure. It seems the article was designed specifically for this purpose so I have high hopes it will accomplish your objective. You do not drag the contents (which is essentially copy/paste) - you use import/export instead.

My profile was toast so my work Helpdesk created another. Everything is restored except my Outlook personal folders that were stored on my HD. It (of course) has months of archieved emails from all my customers and I cannot work effeciently without it.

I have searched for .PST files and cannot find the file to import. .I have searched for hidden files. My new mail is flowing in just fine and my calendar is there.

How do I make the business sub-folder the default folder?

I have some users on Outlook 2003.
Here is the situation: When he opens outlook it automatically opens with the Outlook Today window. That is fine. But after he moves around and goes to the Inbox and then clicks on the Tasks. When he clicks on mail again he wants to go back to the Outlook today window.
He says he has done this on his home Outlook but can't remember how he did it.
Is there a way to do this.
I have played around but could not find a setting.
Any help would be great.

Hello all:

First time poster.

In the folder/tree view on the left in Outlook 2007 (Windows XP Pro) the Contacts folder is not showing up.

In Outlook 2003, it was right there underneath Calendar, which, by the way, is also missing from the Folder/Tree view.

I can access my Contacts via the big tab at the bottom but I want the tree/folder view as it broke up the hierarachy very nicely.

Any ideas?

Hello there.

I've been using this office computer for more than 2 years ago.It has win98 second edition. And it's slow,so what I think was it has viruses,so I uninstalled the old antivirus[think it was mcafee] and added AVG free edition.

My problem is that everyday it always finds new viruses in my pc,and I always had to move them to the virus vault[heal wasn't available].
It's look always like this in the same folders,other are from other places on the pc.

What you need to do is in office 2003 you need to make an office 97-2000 compatible personal folder file move all your emails from the frist personal folder to the 97-2000 compatible one and then copy it to the PC with Office XP.

Outlook 2003 PST's added new code in them that are no longer backward compatible so you need to circumvent this by only using Outlook 97-2000 PST's.

Hi dztraw, welcome to TSG. As I understand it (and someone please correct me if I'm wrong), the IMAP pst is a temporary file that is used when opening Outlook, so it cannot be the default pst. In addition, the IMAP pst contains only mail items - not calendar, contacts, etc. It looks like there's third-party software that might change that, but I don't know how well it works. Search for "insight connector" if you need more information. Hope that helps.

I am trying to restore some pst files in outlook but they wont come up. Even if I try to do a system restore in XP and go back a few days, the system restore fails.

I'm having trouble with a users personal folder, it wont open and it throws up an error that it is being used by another application and that application should be closed. This is even so when Outlook (2000 SR2) is the only app running on the machine.

Any pointers on this one??

Also, the users .pst file is just over 1GB in size (i know, i know!!). If this is the cause of the error...how do i go about breaking up the pst file into smaller, more manageable ones if i cant get into it?

Some time ago I made some sort of goof in exporting my pst files. Ever since then these two nuisance windows open. I cancel them and go about my business. But, really, I should try to fix the problem and not waste my time anymore.

The first window that opens is named Personal Folders. And it states, "The pat specified for the file I:\saved data/backup.pst is not valid

After I close that window another window named Create/Open Personal Folders File opens - which I also cancel. Then Outlook runs fine.

If you could kindly point me in the right direction, I would appreciate it.

I just bought a new computer with Win 7 and I installed Office 2010.
I also have an older laptop with Win XP, I reformatted the HD then installed Office 2010 (same CD).
In the desktop I have "personal folders" then all my different email addresses within ([email protected], [email protected], [email protected] etc...). In the laptop (with XP), there is no personal folder, so depending on the email address the mails are sent to I have to look for them.

I compared both OL, everything is set the same way in both computers, just in the laptop the "personal folder" is missing, and I see no way to add it. I looked in MS help, and I see there is a "backup personal folder" to install with XP, but before making any mistake (and being in more trouble), I would like to ask for help.

Can anyone help me please?

I just realised that my ms outlook contact folder has gone missing from the folder list. I don't know how long it has been missing as I don't use ms outlook often. I have tried looking for it from Tools, custom, options, etc.. but there is no sign. I tried importing an address book to see it if creates a new contacts folder but it hasn't.

How can I create a new contacts folder? I have a backup of email addresses.

If you have XP or other versions of Windows that isn't set up to share Outlook's address book in Outlook Express and the WAB address book (that can be opened separately from Accessories), there is a way to enable this with a few easy revisions in the registry. I just tried it and it worked beautifully!

A while back, I complained here because I upgraded to XP Professional from Windows 98SE. While that was a big step up, I lost certain features that I had in 98, like the ability to share the address book (that I can open without having Outlook or OE open) with Outlook, rather than OE.

But now there is a way, thanks to the following article.


(To edit the registry, you open Run and then type Regedit. Then follow the steps in the article.)

But just note a change. If you add contacts in Outlook Express after the registry change is done via the Contacts pane, they don't show up in Contacts. You can only see the ones you added from the Addresses icon.

I am Using windows 7 professional and outlook 2013.
now i need to sync MS-outlook contacts with the cisco IP-Phones.....(syncing is not an issue)

I have a problem when creating an email message in my Outlook 2003.
1. I create a “New Untitled Message”.

2. I ‘left click’ on the “TO:” option to search my Contacts for the name I want.

3.I get this error: “The address list could not be displayed. The Contacts folder associated with this address list could not be opened; it may have been moved or deleted, or you do not have permissions. It's probably my fault since most things are. Yesterday I had trouble sending email. I looked in the add-ins and saw the COM addin for Microsoft Hotmail connector. Well, I couldn't find where to delete it and so I went to c:\Progra~2\common~1\system\msmapi\msncon32.dll and deleted that. I did a bad thing, didn't I? This morning my Personal Folder in Outlook Contacts, is gone.

How can I get it back?

I did a system restore but the Personal Folder in Contacts Outlook 2007 is not there. The add-in is.

I am trying to share an Outlook 2007 Contacts folder in order to print envelopes from a list of about 500 addresses through Word. When the "sharee" right clicks the folder and selects Properties, there is no tab called "Outlook Address Book," thus making the option to "Show this folder as an e-mail Address Book" is unavailable. Apparently, there was a work-around for Outlook 2003, but it clearly states that it will not work in Outlook 2007.

I need to have more than one person with the ability to maintain this address book, but certainly not everyone that would see it through the Exchange server as a global folder. Can this shared folder be made available as an e-mail address book, or is my only option a public or global folder? Can the editing capability for the public or global folder be designated, and to more than one user? And restricted to other users?

Help please!

I managed to import my contacts list from Outlook on windowsXP on my old laptop to Outlook on Vista on my new laptop. The imported list of contacts is in a sub folder I created to "Contacts" (I wanted to keep the list separate in case there were any problems).

Now I know the data has transferred fine, how do I now transfer the list from the sub folder to the main Contacts folder? I need to do that as that seems to be the only way to access the data in the sub folder for a mail merge I am doing. I can't find any other way to access the subfolder data when creating the mail merge.

Similarly, when I try and copy the data in that subfolder to MAccess, I can't get into that subfolder, only the main Contacts folder, so it seems that is where Vista needs the data to be!

Last winter I did a mass mailing from a folder in the "Contacts" section called "Companies".

Recently, I wanted to do another mailing so I went into the "Contacts" section but the folder "Companies" was not there. Other folders in "Contacts" were there but not that one. How it disappeared I do not know.

When I go into the "Sent" section and back to last winter I can search on the name of any addressee in the mass mailing and it brings up the full record as I made in the "Companies" folder. So, it is there somewhere, but I can't find it.

Also, in Outlook 2003, I can go to "Tools" and then click on "Address Book". In that section it asks me "Show names from the:" and it gives me a dron-down menu of folders in the Contacts area and "Companies" is one of the ones listed. When I click on it, it comes up with a list of names and email addresses of all the people in the "Companies" folder. So, it exists somewhere. Any idea of how I can find it??

Don't use Outlook as much as I used to so I don't know when this actually started.

When I try create a new email...Outlooks looks for the Contacts 'folder'...but I get an error saying "The address list could not be displayed..."

I then go to 'address book' and see that there are two entries for Contacts...the fist choice gives the above error (capture.jpg). When I click the second (bottom) Contacts...then everything pops up normally ?

How do I get rid of/delete the 1st Contacts listed in (doublecontacts.jpg) attached.

I have a contacts folder that I can view in the main frame by hitting the "Contacts" button on the left side of the UI. But I cannot use this folder as my address book. That button is located between the "Tasks" and "Calendar" buttons. I am describing those buttons so that you can see exactly where I am in case I'm looking in the wrong place.
Anyway, I have followed the instructions at


which entail "Installing Outlook Address Book Service" and then "Mark your contacts folder for use with your address book".

After doing this, I have the contacts folder name that I chose, it is in the address book drop down but the folder in the drop down is empty. I cannot figure out how to have that address book drop down navigate to the folder that I can view by hitting that "Contacts" button.

Is there a way to configure Outlook 2003 Professional to update user's contacts from a remote file?

What I'd like to do is have a central contacts list that is updated regularly which is then downloaded automatically by each user's outlook program.

The major snag I've hit so far is removing obsolete entries without deleting the user's entire contacts folder (and any custom/personal contacts they have).

Is there a way to selectively delete entries in the manner I've described? The central list would be on aour local domain server.

My old PC has packed up and died. I have now got a new lap top. I have removed the hard drive from my old PC, put it into an external case, and have hooked it up to my new laptop. To finish the process you need to define a new personal folder for the user. To do this, use the following steps:
On the File menu, point to New, and click Personal Folders File (.pst).
Type the name of the new Personal Folder. Verify and change the file location if necessary. Click Create. Note Do not use the name mailbox.pst.
Verify and change the information if necessary, and then click OK.
If the Folder List does not appear, on the View menu, click Folder List.
Right-click the new Personal Folders, click "Properties for <Personal Folders>", and click "Deliver POP mail to this personal folders file," click OK.
On the File menu, click Exit. Restart Outlook.
In the Folder List, right-click the Personal Folders not associated with Outlook Today, click Properties, click Advanced, and verify that the path of this file is different than the one you created in step 2. Click OK twice to close the dialogs.

Ok here is an odd one:

We intermittently have problems with some of our users. A visitor will come from one site to another login open outlook and they will see their emails disappear.

What is actually happening is that a personal folder has automatically been created and the 'deliver new e-mail to the following location' has changed from Mailbox - username to Personal Folders. Within Outlook two mailboxes appear one being the User's the other the personal folder and all mail has been transfered the personal folders.

The personal folders is stored as a local PST file. So to resolve the issue really isnt a problem. Change the Deliver location back to the User's mailbox. Copy the mail back and close the personal folder.

The issue is that it happens at all. Some users dont notice that the mail has transfered to a local pst and when they go to another PC they appear to have lost all emails!! Recently this has happened where the emails appear to disappear in the same way yet they are not in the local pst, deleted items, permanently deleted items or any other archive files on the PC or network!

This does not appear to be related to autoarhcive as we have it disabled on the PCs. I dont know if there could be a server setting somewhere that could cause this.

The difficulty in resolving this issue is that it does not happen all the time for every person even on the same visitor PC!

I've been struggling for a while with the public folders in outlook 2002. Our company has a separate mailbox, which public folder has several commonly shared contacts. There are already many people, who have set up this mailbox and can access, edit and send messages to these contacts.

However, I tried to set up a few new persons to use these contacts, but they cannot send messages to them. They've got permissions to the mailbox, they can add and modify contacts and contact groups, but when I select a contact and click "new message to contact" (or something like it), it shows up in the recipient area as only text, not as underlined text indicating a valid contact. And when I try to send the message, it says that the recipient is not recognized etc. For testing, I added the mailbox for my personal account at the same time and I can use the contacts normally, these other two new persons don't. Only difference with us is that my account has a bit more permissions since I'm in the IT-dept, but others successfully using the mailbox are just normal users as well.

Does anyone have ideas what to do? Is there still some setting I could've overlooked? And as a second question, how can I send a message to several contacts in the public folder?

I am having an issue with my contacts in Outlook 2003. Whenever i click on a "contacts" link (to add an email address) it pops up an error, and tells me to look in the help file. I have looked through the help file and i have been unable to find anything about it. Here is a screenshot of what it looks like:

Where is the setting for this? I've looked all over the program!

After working perfectly, Outlook will no longer respond to search for entries in the Contacts folders from the empty box where one normally enters a contact name.

I have run "repair Office 2000 Professional," uninstalled and resinstalled, but I am unable to run a search for a contact except by using the Find Feature.

The change seemed to have occured when I synched my laptop to my PC. (The PC works fine, the problem occurs only on the laptop).

As the search contacts is a critical function, I will appreciate a solution. Thanks!
