Q: Edit Visio objects inserted into Word


I need to insert a lot of Visio drawings into Word documents. I prefer to edit the drawings in a full Visio Window rather than in place. When I return to Word, I want the drawing to be sized to fit the drawing contents.

I figured out how to get Visio to open in a full window when in Word I do Insert|Object|Visio Drawing: in the registry I added EditInPlaceOnInsertObject=0. When I exit from Visio back to Word, it sizes to fit the drawing contents, too.

But I can't get the same things to happen when I open a previously inserted drawing to edit it. If I double click the object, it opens in place rather than in a separate window, so I have to right click it and choose Visio Object|Open. But when it opens, the shapes take up the entire drawing page. If I want to add something to the drawing, I do File|Page Setup|Page Size|Predefined Size|Standard to put the shapes on a larger page. But then they're scrunched in the lower left corner, so I do Edit|Select All, grab them, and move them somewhere else to get more room. Then the zoom factor is different than it was when I first made the drawing, so I may have to change the zoom to get a shape size that's convenient to work with. And when I exit Visio back to Word, Visio doesn't automatically size to fit to the drawing contents, so I have to remember to do File|Page Setup|Page Size|Size to fit drawing contents before I go back to Word.

I had been using SmartDraw to make drawings. To edit an already-inserted drawing, I'd double click it to open it in a full window. SmartDraw would put the shapes back on the same size page and zoom factor as when I created the drawing, and when I exited back to word, it would size to fit drawing contents.

I now need to use Visio, and would like for it to work like SmartDraw did. Is ther another registry setting or other change I could make to get it to work the way I'd like?

A few weeks ago I created a Visio diagram - a floor layout/seating plan. Everything worked fine.

Now I have returned to the diagram to make some adjustments, and the bizarrest thing has happened: I can't set the dimensions of my objects explicitly any more! When I right click on a shape (say a rectangle), instead of giving me the option to set the width and length, it gives me the dialog attached, which is utterly useless.

I tried rebooting, then I uninstalled/reinstalled Visio 2007. Nothing doing. The only way I have now to resize shapes is to drag their handles - which obviously is just not good enough.

Interestingly, walls still work: I can resize walls by entering their properties. But other shapes just do not work!

What has happened to my Visio? And how do I fix it?

Inserted pdf files as linked objects in a word 2010 document. I only can see the first page. When double clicking the object i can open the pdf file .

I would like to print in order the word document inserting all the pages of the pdf object in a final document in an automated way.

Perhaps someone can shed some light on this recent PowerPoint discovery.

I teach a course in PowerPoint using Microsoft’s Step by Step book as a text. One exercise has the student insert a clip art object onto a bulleted slide. The Automatic Layout feature is supposed to cause the bulleted text to move over to accommodate the clip art object and show the Automatic Layout Options button near the added graphic object. This feature did not work on any of my students computers! It put the graphic object right in the center of the bulleted text.

I have tried this feature on my own system many times. It always worked properly. Further investigation revealed that the feature is set as follows:

From the menu
Tools/Autocorrect Options
AutoFormat as you type tab
Automatic layout for inserted objects option box should be checked to make the feature active. OK!

So I set the feature on the students’ computers. No change! The feature was still ignored, even after closing an reopening PowerPoint On my system I had no problem turning the feature on and off by checking and un-checking this option box.

I noticed that I am using PowerPoint 2002 and the student's systems are running 2003. Could there be differences of this type in the two versions? Why would this feature be "broken" in the newer version? Does anyone have a resolution to this conundrum?

I have an excel sheet that includes our company logo, that I need to protect, so I want to disable Edit Objects in the Protection menu, but I want the users to be able insert pictures into the sections I've created that are not protected cells.

I have built a form on table which will navigate showing data stored in each record in the table.

I need to restrict the edition of data while navigating records from the form. Edition can be permitted by clicking a command button for example (Edit) to change the stroed data.

Can this happen?

If so, please advise.

Unless you are going to use some kind of Password control I don't see much point in having the Command Button.
It can however be done.
You set the Form's "Allow Edits" to No and then use the Command Button's On Click Event Procedure to set it to "Yes".

I tried to use Acrobat writer to convert WORD file with embedded Visio and PowerPoint objects to PDF file. Everything seems normal except that all the texts in the embedded Visio object disappear in the converted PDF file. Embedded PowerPoint texts in the converted PDF file are OK. The WORD file with Visio and PowerPoint objects is perfect; it only has problem when I try to convert this WORD file to PDF. Anyone may have any idea with this problem of "disappearing Visio texts in the PDF file?"

I insert a visio drawing into a word document by menu Insert|Object|Create from file|link to file then select or enter the visio file name. I double click the object and select the page which I want to view in a word document. But whatever I select, only the saved default active page can be viewed in word document. My question is if there are many pages in a visio file, how can I set a linkage to a appointed page of visio file?

I have a friend who just called and said that he inserted a pic in a Word file and it's not showing except in print preview. He wants to be able to manipulate the picture from within Word, but all that is showing is a big white box. He doesn't know what, if anything, he did to Word to make this happen. Any thoughts?

Hi there,

I am writing a report (in MW2003) on a model i have written in excel. I have cut and pasted tables from excel into word.

Bizarly though some of the objects i have created in Excel (e.g. drop down menus and input box) have appeared in my word doc and i cant get rid of them.

I can only select them to activate them (e.g. enter data or chose item from menu), but when i click on the control box to be able to select them to delete, they disspear.

I really need to get rid of these so any help appreciated.

When I insert a picture in Word 97 document, the picture shows up on the screen, but doesn't print or show up in Print Preview. If I save the file to a floppy and move it to my lap top with word 97, the picture prints fine.
If I create a file on my lap top with an inserted picture and move it to my desk top word 97 (WIN98) the picture prints along with the text.
What the heck is going on. The desk top system is Win98 and the lap top has Win 95.

Some possibilities:
You might be printing in draft mode. To print the borders and graphics in the document, click Options on the Tools menu, click the Print tab, and then clear the Draft output check box.

Make sure the Drawing objects option, which prints graphics, is selected. On the Tools menu, click Options, click the Print tab, and then select the Drawing objects check box.

You may be trying to print the field codes for a linked graphic rather than printing the graphic itself. On the Tools menu, click Options, and then click the Print tab. Clear the Field codes check box.

I am using Microsoft word 2016 and Visio 2013.
I put the Visio images directly in the word document and a Visio object is created.
However, if the file I have created is opened and saved in lower version than word 2016 (let's say word 2010) the visio object is shown as an unidentified object in my pc. Whereas, in the other pc where it was edited (which was having a lower
version of Microsoft word) it works fine.

Inserted symbols in Word 2007 (the fractions 1/2, 1/3, 1/4, etc) were reading correctly a week ago. When I bring the files back now, the symbols are gone (replaced with little rectangles). Other symbols, such as the one for degrees, are unaffected. Any ideas how to fix and prevent this from happening again?

I am using Windows 7 and Windows 8 on separate computers.

●I’ve been using this cumbersome fix for over a year now. It’s become almost automatic, but is still a pain in the neck, and I still sometimes goof when I lose track of what I have in the clipboard and try to simply Paste something into Word. I managed to fix this once, but it took a lot of doing, and I can’t remember any details.

●It’s not just things copied from the net that cause this. If I draw something in Paint and try to paste it into a Word doc, exactly the same thing happens. Ant the result of resorting to End Task in the Task Manager is that every single Word doc I have going crashes (sometimes a half dozen or more).

●Once I “Paste Special” drawing or whatever into Word, if I then click on it, and can simply Paste that into Word docs with no trouble.

●I discovered only yesterday that Word’s AutoRecovery may have the docs that crashed, exactly as they were at the time of the crash. Use

I am preparing a Word 2007 document which includes image objects and text in text boxes. I can format the image objects and text boxes correctly in the editing view, but when I print preview or print, the objects move in a way I don't understand. One example is image objects "jumping" to a different location on the print page. Another example is text boxes changing size so part of the text disappears off the right edge of the printed page. Is there a way to print exactly what I see in the editing view?

I have Word 2010 installed on a Dell Latitude E6520 with 64 bit Win 7 Pro SP 1 with i5 processor, 8 GB RAM.

So when I click on File/Info/Prepare for Sharing/Check for Issues/Inspect Document/Inspect

for one of my documents, I see, among other things:

Number of invisible objects found: 1

A Remove All button is displayed, but I don't see any way to display what that invisible object is before I remove it.

Is there a way to display it (or them)?

I tried searching this forum without success, and all the online search results reference "hidden text," which is NOT my question.

I seldom type letters anymore because email is so convenient. However, when I would type letters, I'd often include .jpg photos from my documents. Now, when I type a Microsoft Word 2000 document and insert pictures, the photos appear on the screen but won't print out. The text is there but no photos! Yesterday, I used Corel Word Perfect Suite 8 to type a letter. I inserted the pictures and they printed out just fine! I haven't changed any settings in Microsoft Word ... can anyone help???????????

When inserting pictures into a Word 2010 document they always go to the top of the page, then I have to rag them to where I want them. This happens even though I have placed the cursor in the place where I want the picture before I start the insertion process. In M.S. Word 2003, formatting a picture/object/textbox, one can check/uncheck the Lock Anchor option. (Format > Object/Picture/Text Box > Layout > Advanced > Lock Anchor.)

In the past, whatever option one chose stuck and survived editing. Since upgrading to Windows 10, however, the default option is Lock. But not only newly created or pasted objects get locked---once unlocked they automatically revert to being locked upon any major editing action, such as copy-paste to a new page or group/ungroup. When ungrouping an unlocked group, all descendant objects get locked, each getting anchored to its nearest paragraph, and there may be dozens of them.

This is a huge nuisance, particularly in light of the multiple actions needed for manual locking/unlocking. Does anybody know how to change the default to Unlocked? I'd be grateful. Thank you.

I use Word 2002 on this computer (I have 2010 on my laptop), and I have to prepare documents (I'm a teacher) where I will have text, and then I'll import a shape or image, etc, and have it on the same doc. Often when I open a document after awhile, objects will have shifted around the page.....even though I haven't really done anything with the doc in the interim.....I am going to try putting each object in a "table" (one cell.) Is this the best way? How do I place objects in a doc and be confident that they will stay exactly where I've placed thme?

Hi, I've searched and surfed for days on this subject, and found nothing. Recently had to switch to Office 2007, only to find that it seems MicroSoft has removed the ability to select graphical and drawn objects en masse as a group. Used to be we could choose the "object select cursor" which was shaped like an arrow, and then draw rectangles around all the many drawn objects we've made, to group them. Now I can't find that object cursor anywhere in Word 2007! MS help only says "to group objects, select them one-by-one by clicking on each, then group." Surely they haven't removed the ability to "lasso" or bound-box a bunch of drawn objects?!

Note that I don't use the "drawing canvas" because it's so inconvenient; drawings are integral to the text, and losing sight of that text while developing the diagrams is too clumsy to even consider. So I'm drawing objects right onto the page. There can be many dozens of small lines, dots, text boxes, curves and shapes to a drawing, so selecting by manually clicking each is completely obtuse.

Any knowledge of this object selection capability still being buried somewhere in the features? Thanks in advance.

The graphics engine for Office 2007 was revamped - you'll see this best in
Powerpoint. Word, however, wasn't able to completely implement the new graphics
in this version, so what you get is a mish-mash of the old and the new. And
these can't really work together. The Group command works only for the old
stuff (AutoShapes); it can't work with the new or a combination of new and old.

The Drawing Canvas is old, and putting a graphics file in it "converts" the
file to work with the old commands. That's why Group will work inside the
canvas with things that won't accept the command outside the canvas.

The Select command is on the Home Tab in Word - in the Editing Group (far right).

At work, we recently upgraded from Visio 2000 to Visio 2003.

Mistake. Big mistake. Huge.

Now, when we try to edit the graphics, we get the same types of problems that many other users have reported: lines don't connect; text is improperly kerned (spaced between letters); text appears lighter (medium gray) in print and on screen; some elements don't display.

Has anyone been successful at getting Visio 2000 images into Visio 2003 format without heavy image editing?

Heres what Microsoft's online help says:

...You've got a great picture to illustrate your text, and you know exactly where you want it to be positioned. When you insert the picture, however, it floats off the page or seems to be cut off, which is not what you had in mind.
When a picture is inserted into your Word document, its default placement is in line with your text. That is, Word inserts the picture where your cursor is, even though it may not be aligned properly with the text around it...

The bold part is what I want to change... is this even possible?

Hi all,

I am trying to send multiple emails to different people with slightly different links to a survey page, so I can monitor who takes the survey (e.g. http://forums.techguy.org&c=90001, http://forums.techguy.org&c=90002....)
I have no trouble setting up Word to do a mail merge using an Excel file as the data source, and in the Excel file the links are all different and they are live.
However, when an email shows up on my pc, the link is dead - can't click on it to go to the survey, only can cut and paste into the browser, which I don't want to have happen to the client's customers.

(Edit) Note: I installed Microsoft's FixIt
and continue to have the problem.

I created a simple word file with some visual basic elements, with Word 2003: two text boxes, a command button, and two labels. The user is supposed to enter information in the text boxes, and watch the information appear in the labels when they click the command button. I got everything working with this simple code for the command button:

I was happy. I saved the document, closed Word, and went for a coffee.... When I returned, I re-opened the file. I entered text into the textboxes, and hit the command button, though nothing happened. The labels stayed blank. I tried adding new functions, and editing the old one, and nothing worked. Do VB functions work one time only, when you create them? Or can you create them, save the file, and have it work in the future (I hope)?

Basically at work we have these documents we need to fill out for each project which could contain up to 25 standard tasks. Each task is shown on a list and also has a table dedicated to it later in the document. The master document contains all 25 tasks and tables but not all are relevant to every job, so we have to go through and delete the ones we don't need. It'd be much more efficient if we could have a way of selecting the necessary tasks (e.g. from an index table on the front page) and having the document populated with only these tasks. I could easily do something similar in Excel using the VLOOKUP command, and if I can't find a better way then that's what I'll have to do, but this would still leave a bunch of empty tables to delete and isn't great in terms of formatting etc. so I'd rather have it all in Word if possible. Also, this would mean for some jobs the list of tasks would read e.g. 1,2,3,9,10,17 etc. when I'd much prefer it to be 1,2,3,4,5 etc.
Any advice and help regarding how to approach this problem would be greatly appreciated.

Visio files are received as attachments in Outlook 2016. Visio Viewer 2016 and IE11 are also installed on Windows 10 (1607).
Previewing the Visio file (VSD in this case) is successful. However, when you try to open the Visio file, IE11 attempts to open it (as expected) but only displays a blank page.
Does anyone know if there is a fix for this issue?   Other articles suggest that Visio Viewer 2016 does not support IE11.

I have been running Malwarebytes Anti-Malware on a regular basis. Sometimes it finds a few hundred objects, sometimes nothing. Today it finds over 45,000 which is very unusual but never gets to the screen where I can remove/quarantine them. It says 347787 objects scanned, 45,000 detected objects, Heuristic Analysis: Done. I tried running it in Safe Mode and it does the same thing. 
Its kind of strange in that the Objects Scanned: stays at 347787 while Detected Objects keeps going up and up till it hits 45205 then, after a few seconds Heuristic Analysis:changes from Working to Done, then nothing happens after that. I don't get prompted to do anything with the files. Should I just wait a few hours and see what happens?

Open Malwarebytes and check the Database Version you have on the Dashboard, please post that here, next click Update Now to update the Database.
Did the program update successfully? What is the database version now?

I have been running a new PC, ASUS Z97-WS, for about four months. Over 80% of my application crashes are related to Microsoft products. I am running WIN7 Ultimate x64, using Office 2007. Word crashes daily reporting ?? software exception (0xe00000002) ?? I have run hardware tests, including Word diagnostics without finding errors. I also run Viso Professional 2007, which attempts to reinstall itself every time I start the program. I can cancel the install or lets it proceed. Once started Viso works correctly. Word is my biggest headache as it tends to fail just when you are saving a file for the first time. If it recovers it normally looses the data entered, it sometimes shows repairs related to image objects but is vague on details.

I have all the latest Microsoft updates, BIOS updates, print drivers, and have disabled all Word add-ons and have replaced normal.doc.

What would you recommend I try to resolve these concerns? Thanks.
PS The programs worked better when I installed them on a previous PC about 6 years ago.

I'm importing .jpg files into a Word XP 2002 document. The images look right on the screen, but are too big for the frame when I print. The entire frame is filled with only a portion of the image. I have been able to reduce the size of the picture before I import and it prints correctly, but the document already has many pictures in place. In the document, "Format Picture" does not give me the option to resize, and "Edit Picture" from the Edit drop down menu is not an option (grayed out). It would be much quicker if I can edit the pictures in Word, if possible. Any ideas? Thanks in advance for any suggestions.

I must get dumber as I get older.
At one time I created a FAX template in word. I must have done it right because it comes up in the window when I click "new".
The company I created the FAX for has changed phone numbers and I need to edit the FAX., so I don't have to change stuff every time I use the template. I've been trying to edit for an hour or so, only successful in creating multiple copies of the original FAX, sans changes. I searched these forums too. I even resorted to looking at Word "help" without success.

Have a weird situation. Fresh load of Office 2000 onto a Windows 98 SE machine. Is kind of an older PC, but does everything else well (Lotus Notes, Excel, Access, PowerPoint, mainframe program, browsers, etc.)

However, when working on a document, user is importing a .bmp scanned image of a signature (for a memo) and has discovered that they cannot edit the picture...no crop, no resize, no alignment changes, nothing.

I use Word 2013, but when I scan a .doc I can only save in pdf. My problem is that after scanned I want to edit the pdf document.
I've been searching for conversion programs (pdf to word) but can't get very good answers on line from the people selling these. This makes me wonder how good their support would be once I purchased it. Also, I can't get a definite answer to my query about editing after conversion.
A program that would allow me to edit a pdf would work for me also.
Which program has produced the best results for anyone else?
I can't break the bank, all of my work related to this is for non-profit groups with limited funds.

Hi woodcamp You can edit PDF files using Adobe Acrobat, the most popular PDF editing program. However, that software isn't free (there's a 30 days trial however) so you'll have to pay for it. here's a lot of free PDF editing programs, but I guess that none of them will be on Adobe Acrobat's level. How do you scan your .doc file? Using the numerising feature of a printer? If so, I think these will only output PDF and not plain Word documents.

Really becoming "addicted" to the computer world, but still fairly "illiterate" as the "username" says it all. One thing though, this new "obsession" has kept me away from the "boobtube" for a while, something I thought I couldn't live with. Anyway, my THINKPAD R51 "pre-load" came only with wordPAD and notePAD...and my new "pursuits" require I edit on-line accessed PDF docs. Figured the most economical way was a FREEWARE PDF conversion to 'word app (i.e. AABBY, etc) but evidently w/o MicroSoft WORD it won't work. Do I need:
a. a "plug-in"...?
b. an upgraded "editor" (i.e. AbiWord, PolyEdit 5.0,etc)
c. different "procedure" all-together
Sure I know there are multiple FREEWARE PDF typer/filler etc out there BUT they either all require "programmer" like history to enact (i.e. fields, settings, numeric assignments, etc) and require far too much time invested for simple ON-line PDF document "filling-in"
their "easy" to use/navigate but don't offer "full" trial/demo access.
Again, PDF to WORD, sounds the easiest, most specific way to edit...(just download and pull up in whatever editor), unfortunately within my STANDARD notePAD/wordPAD, they lose all differing FONTS, document FLOW and of course GRAPHICS.

Download OpenOffice if you have not got Word.

It's an "MS Office look-alike" suite that has a Word Processor that is very compatable with MS Word, but free.

But just be aware some PDF documents or forms are not able to be "extracted", it all depends on what the author of them has allowed when creating them. That is the main reason for the existence of PDF, to prevent people altering them.

As a law student you would realise that a form designed to be filled in (by hand) can be a legally binding document. Any alteration to the form (by intent or by accident) would create a problem, so its often frowned on. These types of PDF are usually protected and will not extract.

If you are "required" to edit PDF's it surprises me though, as that implies you would need Adobe Pro (not the free Adobe Reader) to open and edit the documents, and that isn't cheap! Documents designed to be edited are usually in Word, documents designed to be read only are in PDF.

I see you have also already broken the rules here by multiple posting this problem....good start for law!

I send in cricket match reports to our local paper. Last season I had an XP machine and I used to copy and paste the scoresheets from our website into Word. Here's a typical scoresheet


I used to copy the scoresheet and paste it into Word, edit it and send it off as part of the report. The newspaper could also copy and paste it at their end. Fine.

Now I have a Win 7 machine and, I may be incorrectly blaming this on the OS, I can copy the scoresheet into Word but I get an uneditable block, looking only vaguely like the scoresheet I copied.

I imagine that there is just some "tick" I haven't put in a box somewhere but it would make a massive difference if I could find that box.

Any help much appreciated,

Office 2010 and word specifically have me stumped.
Word has stopped allowing editing in existing paragraphs, problem is only in Russian only, English is fine. I can usually write new paragraphs , but then not change them.
As far as i'm aware I have all correct things ticked to allow alternate language to type and can switch between English and Russian fine and it was working ok initially, allowing editing.
Computer has winrus software installed, documents were originally types on windows xp machine circa 2004 and are now on windows 7 machine from 2012.
Any advice welcome

Just a thought, but the 2004 XP machine would have been running - probably - Office 2003 and you are now running Office 2010. The default file structure for Word 2003 ( and earlier versions ) is .DOC, that for Word 2010 is .DOCX.  2010 can open a 2003 document with no problem, but have you tried saving these older documents in .DOCX format and then working on them ?
You imply in your post that this is a recent problem, or at least has started recently. If you have any idea of when this happened it might be worth running Windows Restore to a date before this problem started and see if that solves the problem, it could be some recent update has caused the problem. Of course, if using restore solves the problem, you still need your updates !  Add them back in two or three at a time, this makes determining which caused the problem much easier.

Sometimes I need to edit the text in MS Word mailmerge templates when the data file is not available. When I try to open the template without the data file, I get the error message "Word cannot find it's data source . . ." and the only options given are to "remove the data source" or "remove all merge info."

This mailmerge template is part of an automated process where a datafile is generated, the mailmerge is done, and the datafile is immediately deleted (automatically). So a real datafile is never available.

If there is any option flag that allows opening a template for editing without being forced to "remove the data source," I'd like to know about it. The only other choice I see is to create a fake, empty datafile for the template to find, but that is difficult when I don't know how many fields it has.
