Q: Need help setting up email, contacts, shared drive for work

Hi -
I am looking to get some input on a project I?m working on for my girlfriend around setting up her email, shared drive, calendar, and contacts across my desktop PC, her laptop, and her phone. I?ve been poking around different articles on the Net for answers and advice and have failed to find something comprehensive. If someone could give me some feedback on the below, it would be appreciated!
Please forgive the forthcoming wall of text!
She is a realtor and works from home, her office, and on the road.
Needs a solution where her shared drive, email, calendar, and contacts are the same across all devices. So, if she deletes an email from her phone in Starbucks, it needs to reflect when she gets back to her laptop. If she wants to work from my desktop for the bigger screen, she needs to work to reflect on her phone when she leaves to show a house.
There is an added problem in that she has a gmail address and a hosted domain with a different last name, so the contacts from her gmail address, contacts from her phone, and contacts in her Outlook 2016 need to be merged into one account. Preferably gmail so that when she gets a new phone, her accounts can download to new phone.
Phone is Android. PCs are Windows 10. Uses Word and Excel 2016 for work. Part of this project is setting up a new phone from Verizon (which we have but haven?t set up).
She used to have everything on an exchange server and got rid of it a couple of years ago. Not sure we?d want to go back to that. Not sure it?s needed.
She has found email addresses for both gmail.com and outlook.com that she likes.
I would consider myself an amatuer tinkerer when it comes to computer hardware and software, so the solution needs to be somewhat mainstream (so preferably no weird apps that I have to think about continually messing with).
Personally, I think the Outlook Email App for Android is pretty great and would suit her well. I use it and like it. I use Outlook.com for my webmail and like it better than gmail.
1 - I am not sure if she should set up a new email under gmail.com or outlook.com. If we go with Outlook.com, seems like there is an issue that would occur if she added a contact while in the Outlook Web Mail app, it would have to be added again to Gmail (so it shows up as a contact in her phone for phone calls). So, the advantage to a new gmail.com address is that she would work in the Gmail web application, contacts would synch across phone and webmail, and the Outlook Email App would recognize the contact so there?s no need to add it there so she?d work from that while working on the phone.
2 - Not sure about Shared Drive. I like OneDrive because it shows up as another file in Windows 10, Outlook WebMail, and Outlook Email App so it makes it easy to save to when working on the laptop or desktop. However, if we go with Gmail address, then she?ll be working in gmail while on the laptop/desktop which doesn?t have access to OneDrive. However, as I type this out, maybe it doesn?t matter as if she needed to save something to the cloud, she?d just save it OneDrive on the file explorer.
So, maybe the simplest solution:
New gmail address. Import contacts from old gmail and Outlook 2016

From Laptop or Desktop: Use Gmail for Email and Calendar

From Phone: Use Outlook Android App

For Shared Drive: Use OneDrive
Personally, I hate working in Gmail and think she would prefer the Outlook Calendar and WebMail. If it weren?t for the contacts, this would be a no brainer as I would just go with outlook.com, but I want her phone to be updated as well and want to cut down on as much of the manual work as possible.
Appreciate any input - honestly up until this morning I hadn?t even considered a new outlook.com email address, but given that outlook webmail, outlook android app, and onedrive seem to be the solutions I?m leaning towards, that seemed like a good solution with the exception of what I brought up above.
Thoughts? Apologies again for the wall of text!

What's the issue with the contacts? Having the contacts on the phone only is a bad practice, they should be linked to an account and sync'd so they are accessible everywhere. You can export them from the phone or Gmail over to an Outlook.com account and they will still be accessible on her Android. My personal Outlook and my business Exchange account contacts and calendar are all accessible on my Android using the Gmail mail app and the Google Calendar app. The Android Outlook app doesn't support POP accounts and I need to use one so I don't use the Outlook app so that all three of my email accounts are in one app(Gmail app). The new Outlook.com is based on the new 365 platform that is shared with Exchange which makes it a great all-in-one solution; Exchange is hard to beat. Same email, contacts, calendar on all devices including a fully functional web interface, plus integration with cloud storage.

Google has Google Drive which is similar to OneDrive; you ca install the Google Drive program on any PC and it behaves similar to OneDrive where it creates a folder and is also accessible from the web and mobile device.

The PC version Outlook and Gmail do not have a free contact sync feature, you would need a third party tool for that. Outlook can sync contacts with a Microsoft account though(Outlook.com). So if you end up using Gmail, unless you have the paid Google Apps, you will need a third party program to sync contacts between your Outlook program and Gmail. Same goes for the calendar.

When I had Windows 7 I had no problem setting up group contacts (which I use quite often).  Unfortunately with Windows 10 there is no obvious way of doing this and I have to go through the tedious task of entering around 20 contacts each time I want
to do a group email.  Please can you tell me if I am missing something here or can it not be done in the lovely user-friendly (NOT) Windows 10?

I am starting a new job on the 1st April. Small company with zero IT support.
I need to set up this work email address on my personal MacBook Pro, IMac, iPhone etc.
I have been sent an email address, plus IMAP server details and a password.
My Mac states the server is not responding.

I have tried a few times and its not working - any help would be appreciated.

i'm trying to set up outlook at home to recieve emails from work. I have set-up the account and I can recieve emails just fine but when I try to send them i get the folowing error message;

The message could not be sent because one of the recipients was rejected by the server. The rejected e-mail address was '****@****.com'. In the POP3 settings I have set the incoming email address the same as the outgoingSMTP. Should the SMTP address be different?

Hi guys

Just needing some assistance if possible, in setting up work email at home.

The issue is that I have an unexpected project that has just popped up and need to have it completed before Monday (yay, goodbye weekend!).

I haven't had to set up a client such as Outlook at home as using Webmail has been sufficient for now. However it is getting to that point where I really need more features, such as searching for emails, making emails into tasks etc etc.

Unfortunately I can't get in contact with our IT guy for help so I have very limited information. All I have is the microsoft exchange server address that I use to access by email via link on the web, and also through my Iphone.

I've tried plugging this into Outlook / Thunderbird etc using different mail formats but can't get anything to work.

What I would like to know is a) What other information do I need to gather to make this work (b) Can I find it myself, and (c) If I can't, is there a web based client with the same functionality as Outlook that I can use to get my email via Exchange protocol (2003)?

Apologies - I realise this is probably a really silly question, and appreciate your assistance!

I started receiving emails from a few friends this morning asking me if I indeed send out an email titled "Secure shopping" from my yahoo mail address recommending them to shop at a website (www).ushopcn.com I first thought it went to a few email addresses (mostly obsolete since I deliberately do not use my yahoo email much). But later in the day I received the copy of this email and I could clearly see that it did go out to a lot more email addresses than I thought and I now suspect to all of them in my yahoo address book. I sent out a short email to most who have received it apologizing profusely! (not from yahoo mail of course!). I then noticed that my address book in yahoo mail is wiped out. Strangely, the email showed up just a few times in my Sent Folder (and only showing that it went to ONE email at a time...when, from my friends' forwarded emails back to me. it was obvious that it did go to MANY at the same time!).

I have run Spybot S&D and mbam...I am clean they tell me. I have deleted most of the emails in my Yahoo Mail folders. I have not attempted to send out a new email from Yahoo Mail. Everything else appears to be functioning properly, including my Outlook mail and GMail accounts where I do most of my email stuff.

I am now paranoid...What else can I do? I would appreciate any help from the experts here, thanks!

A:Yahoo mail sent a phishing email to all my contacts and then wiped out ALL my contacts!

my hotmail address had the same problem. recently i went to set it up to send auto replies as i was going away, and found the same email message copied in there ready to send again.

i was advised to change my password for my email to something which was capitals&lower key + numbers. Scan using malware and avira. didnt find anything, and had no problems since.

i'm by no means an expert - this is the advice i was given by someone who knew what they were talking about!

1. Create a shared contacts folder in each OE5? It seemed to disappear once I configured everyone's email.

2. Specify path to server?

Are you using an Exchange Server? Is it in-house or is someone else hosting it?
The Shared Contacts, is it like a Public Folder that was set up? Or do you mean the Global Address list that you see when you hit 'To' in an email?

I came across some information on the internet at

which seemed to show exactly how to setup Outlook to share contacts without having to purchase multiple Exchange licenses...I was unsuccessful, but I think it's because we're running NT Server 4.0 instead of 2000/2003 Server...

Does anyone out there know another way to do this for NT Server...?

If I am understanding you correctly, we did this in our office by creating a public folder and copying contacts to it. As I recall, we didn't have to have any special settings in Exchange, it was simply a "shared folder". I don't have Outlook installed anymore so I can't be more specific, but I know it wasn't difficult.

I've tried researching this but don't seem to be able to get the right search terms to find anything. I have a user who has been given access to her attorney's contacts folder through exchange. The problem she is experiencing is that when she opens her attorney's contacts folder on her computer she is not seeing all of his contacts. If I go to the attorney's computer and view his contacts list I can see a name that does not show up in his contacts folder on her computer. Since this is shared through exchange there should be no difference. She also says that she has experienced times when her attorney would add a contact to his folder and she is not able to view it. What could be causing this?

Hi

I would be grateful for any advice with a problem on the shared contacts folder on our Outlook 2002 / Exchange 2003 system.

The original shared contacts folder was accidentally moved to a personal folder when someone tried to copy it. I was unable to move it back, probably as they did not have the correct permission to do this. However, I did successfully restore it from our back-up tape, and ensured everyone's Outlook pointed to the new folder (deleting any references to the old folder, same name) and that it was also marked as an e-mail address book. Everything looked fine - we could see the addresses and create/edit etc in the folder. However, for some reason we cannot search within the folder! We have over 1700 contact cards, but when you try to search for a known item the search finishes far too quickly and tellls you there are no results. All the permissions seem to be correct, so I cannot see what could be happening.

Does anyone have any ideas?

I use OE 6. When I go to the address book (from the toolbar) I cannot create new folders in the Folders and Groups column in OE 6. I also can't Import of Export.

I've opened another .wab file and 'exported' it to my OE, but it doesn't change anything. The other .wab files show Shared Contacts but, once exported, this doesn't show.

The biggest problem is not being able to create new folders.

Please help.

I have Outlook 2007 that is used with Exchange. My company has a contact list that is shared between 4 users. I am the owner of the list.

The problem I am having is making this list show up in the 'folder list' for the other users. I can see the contact list in my folder view (I'm guessing b/c I am the creator), but they are unable to see it in their 'folder list' view. Is it possible to make this happen?

Also, we are having trouble syncing this specific contact list with the iphone. Do you have to be the creator of the list to sync with the iphone?

Every user has owner rights and can edit, delete and create any contact card.

I have an issue with the shared contacts in Outlook 2007 through Exchange.
We are 5 people at the office who need to access this list via our Iphones as well as through Outlook. Outlook is not the problem, everyone has this list there. It seemes though like Im the only one to access this list at Groups on my Iphone.

Everyone is has been set as Owner in Permission.

Doesnt Iphone support this?
Is there any other way to make this happen?

Win 7 with Outlook 2013 installed. Working as client to MS server
We have a shared contacts file for everyone in the building (10 clients) called "AMAG Contacts"

My Contacts (now called People in O-2013)
Opens to my personal contacts (no prob). Not AMAG Contacts, but I can click on AMAG Contacts and open it OK. New emails default to the AMAG contacts OK. this Q is for whan I am opening the Contacts list.
When I click on AMAG Contacts it has a list of pictures and names.

When I open AMAG Contacts I can click >View>Change view>By Category (or whatever??)
BUT neither AMAG Contacts nor my view change is persistent. I want the changed view to be persistent across closing O2013 and reopening it

1. Is there a way to default to AMAG contacts when opening contacts?
2. Is there a way to make my view of choice persistent? I like the Category view.

I cannot find any dialog that allows me to do the above.
Several others in the building have asked the same question and I think the older versions are more straightforward and controllable.
Can this be done? I perused Outlook options and saw nothing there either.

'Boopme' had me run MiniToolBox and he wrote that he found "errors and other issues" and he bumped me to this thread.
 
Norton now seems to be removed and the restart was successful w/ out a restore.

Been having problems with my laptop running Vista Home premium svc pack2.
One day, a month ago, Norton was not updating properly. Upon the next boot-up windows would not start and I was forced to restart in safe mode with a system restore. This was successful but Norton Security Suite was still not updating properly.
Since then, on a few occasions, I have attempted to uninstall Norton without success thru the program uninstaler. Norton is unresponsive. I even got the Norton rep. to do a remote deletion of all registry files of Norton. But they all returned after the reboot of my PC because windows would not open and I had to start-up thru system restore.
Since then my yahoo email been hacked and spam sent to the contacts of my address book.
I know I got something but I don't know what.. Can anyone take a stab at what I might need to do?

Hi,
hopefully this is an easy one. I recently purchased an external Seagate drive and added it to one of the PCs on our network and shared some folders on it. However, whenever the external drive is powered down it seems that the shared status of the folders is lost and has to be shared again. This is most tedious...
Any suggestions?

I have an att.net email account which is now serviced by Yahoo. Today a spam message originated from my account and was sent to everyone on my contacts list. "xmas" was in the subject line and the content was a web address which opens to a website apparently selling medications from Canada. Webroot antivirus has not detected any virus or malware on my computer. What should I do? Do I need to close the att.net email account?

I can't add our shared org email using the normal outlook setup. I tried POP/IMAP, it worked but the emails and subfolders are incomplete. And the shared org email is associated with my personal org email, whenever I tried to remove the associated folders,
it say's "This group of folders is associated with an email account. To remove the account, click the File Tab, and on the Info tab, click Account Settings. Select the e-mail account and than click Remove."
Then I tried a lot of times to remove my email and back again, it is still there. I also removed the additional mailboxes in the screenshot below.

Hi everyone. A few days ago I got a mailerdamon failure notice. I looked and it was a link sent out to a bunch of my contacts....I've changed my password about 4 times, and it just happened again today. I'm changing my password from another computer btw. When I look in my sent folder, it doesn't have the virus email as one that's been sent. I just downloaded Avira Antivirus, and it says its blocking a site from connecting to my computer, it scanned and found two GEN/pwd.zip virus and quarantined them. I'm also getting a DEP error on IE when I try to get on the net.

Worth noting, the past few days I was on another forum do to my computer trying to connect to "pinball corp". I was using malwarebytes at that time, which I've since uninstalled because Avira says it might conflict with it. We went through all the malware removal procedures, and when I tried to run TFC.exe, my computer froze. So I hardbooted it. When it came back on I couldn't run any programs, and my wireless network driver was uninstalled. I was able to delete a lot of programs from my startup folder that I wasn't using, and when I restarted I could run programs again.

Any help is greatly appreciated!

I have to backup the emails and contacts (email addresses primarily) from several computers. The challenge I am facing is that a mixture of email clients are on the computers that I need to backup. The clients that I am backing up are as follows;

Outlook Express
Outlook XP
Outlook 2007
Windows Mail
Windows Live Mail

I am confident that I have all of the emails backed up, however I am uncertain of where contacts (email addresses) are stored in the above.

Any help with locating the contacts files for the above email clients will be greatly appreciated.

Hi! I hope someone can help me with this. Before "homegroups" in Win 7, I used to have my computers in a home network, see both computers on my network, and then put a shortcut to a shared folder on my desktop and my roommate's. Then my roommate or I would just go there to check on a file the other had just put there, or I could send her a file, she could work on it and put it back. I have been struggling with homegroups like crazy, I can't get the computers to see each other, and I can't even find a way to put a shortcut on my desktop! What can I do to do this "the old way"? Both computers are connected to the same network, but I can't see the other one anywhere!

Hello all, I've been trying to setup a shared printer on a network.

There are three computers all running XP Pro SP2.
The printer is a bizhub 250 by Konica Minolta.
The router is a D-Link DI624 wireless.

Right now the printer is plugged into one of the computers. Is this the best way? Or is it better to plug it into the router which is an option on this printer.

I'm not at the network stations at this moment but I will be later. I'm just trying to get a since of direction on this one.

Dear God, how can I explain how frustrating this has been...Ok, so just a very brief back story, my job has a shared Toshiba file, where all scanned documents, and received faxes can be viewed as PDFs. Everything was fine until my computer (Windows XP) crashed, and I rebooted it with Windows 7. Everything else has been fine, but resetting up this file has been a nightmare. After about 15 calls, someone was finally able to create a folder that worked yesterday, however today it is back to the drawing board. Additionally, the folder that was set up was NOT the same one that my co-workers use, which is fine as long as I can access the data, but for whatever reason it is not working...I don't know if it has to do with the network path, the file name, or what.

Now, I am definitely hooked up to the network, and I definitely have network discovery on. Password protect is not on so that anyone can view the shared documents. If it makes any difference, the printer/copier/fax machine/scanner is a Toshiba E-Studio202L machine. When I click homegroup/sharing options, everything is checked off...I really do not know what the problem is, as the documents are just not getting forwarded to my folder (or any folder). If anyone could provide any assistance I would be extremely grateful.

One of my clients has 3 computers setup on a workgroup (no domain, just workgroup) and needs to be able to share his calendars, as well as his coworkers calendars, without an exchange server, with the following reqierments.

>No domain or any kind of server.
>Must be low-profile.
>Cannot pose a security risk.



Thanks for your help, im sort of stuped on this issue, I know other programs that supposedly do this, but would like to hear you guy's opinons first.

Well, Outlook is not your solution, then.

Without an Exchange Server, outlook has to store it's info in a PST file, which can only be accessed by one person at a time.

However, you could use a hosted Exchange plan (Rackspace is one such provider)

I need some help configuring file history. I want to have it store files on a shared folder in a local hard rive but I want that folder to be inaccessible to other computers on my home network.

Now its fairly easy to set up a shared folder on a local drive and store file history there but the problem is that other computers can see all my files. I tweaked the sharing permissions on my folder so I removed the 'Everyone' user and put in my user name (which is an admin) and set the permissions to full control. Despite setting the permissions to only my user account, other computers are still able to open the shared file history folder and view and edit its contents.

I can't disable file sharing all together because then it would defeat the purpose of what I am trying to do and also I have another computer on my network store its files on my computer through file history. Any suggestions or advice would be greatly appreciated.

This can be done but you need to create a Homegroup for your personal machine and the machine you need to share with, leave the other Workgroup machines out of this Homegroup.

Im having some problems sharing certain files to the network here on our office. The thing is when i try to share a folder it cant be spotted or viewed by anyone. I guess i dont share the folder properly. Its not only rightclicking on the folder and ticking in the share folder bars i presume? What else needs to be done?

There's several variables the can come into play but let's just start here
1) Make sure all the computers are in the same workgroup
2) Make sure all the computers can "see" each other in "Windows Networking" (i.e. they are all "visible")

Could not find anything in search, so point me in right direction if it exists. Basically, have a network running through several buildings, 7 to be exact. They all have network printers in, at least one per building, and 2-3 workstations that are shared. People might be required to log into any computer in any building to perform their duties. What i am wanting to do is have the shared computer automatically connect/install the printer in that building by default. Running Win 7 64bit inside a Novell/AD setup. Anyone have any thoughts? Or is this just not possible?

Hi, firstly please bear with me as i'm new to this. I'm trying to setup the email on our virtual server through cpanal and using Thunderbird 3 (although i did try it with Outlook 2007 and the same results.)

Using the given Incoming and Outgoing mail server info given (mail.domain.co.uk) and the mail server username, I get a failed to find error (using both POP3 and IMAP). If I change that too the SSL settings for Incoming / Outgoing (serverusername.miniserver.com), it works and autofinds Connection Security as STARTTLS and finds the ports too. With this I can send emails fine, but I am not getting incoming emails, and I don't know enough about it too see what I'm doing incorrect, any help would be great, thanks.

I posted this on yahoo answers first, but the only response I got was "restart your outloook and try later." *facepalm* Glad to have found a place more dedicated to such problems.

Hi; I've read through posts but I didn't seem to find anything pertinent. My office has created new email accounts for everyone, and I've set mine up on my laptop using Microsoft Office Outlook. I've been using an aol screenname to send/receive emails. I'd like to have my emails that are incoming to my AOL account automatically forward to my new email account for reading (maybe temporarily, maybe permanently), while I am in the process of notifying all my correspondents of the change.

Any way to set up AOL to automatically forward my incoming messages, or to set up Microsoft Office Outlook to import them automatically? Or, is there no way?

Also, any easy way to ensure that, if I read my emails on another webmail viewer like roundcube, squirrelmail or horde (three options allied with the agency that is re-doing our website), that my emails will still come up on my Microfsoft Office Outlook email list?

In the attached example there are 4 columns (Recipient, Email, Comment, and Email Date). Can an automatic email be sent to the email address in the below format:

I have Windows Live Mail which is working. I have my contacts in a folder in the next partition. I double click on the contact add to my contact list. I go to my contacts and see if they are there they are NOT there, it says "None of your contacts has an email defined" My contacts are under User\My User Name\Contacts so I'm not sure if this is even right.

Okay, here I am with all of the other challenged People. I hadn't used my computer for a couple of days, loged on to check my email and received a couple messages from friends about an email I sent them?? Seems like my hotmail account has been taken hostage. All of my contacts were sent a message from a Chinese company that is trying to sell deals. When I tried to send an email telling everyone not to open it, the same text automatically opens up in what would be the bosy of the email. I do use AVG and it did not catch anything. I have also run some other freeware spyware , etc. programs today. Some Malware was caught and cleared but not this one. How can I identify the problem? Would it be easier or can I just correct it by reinstalling my discs from Gateway. BTW, I operate with Vista. Any help would much be appreciated!

My wife and I each have a computer. We are on Comcast. Her's is hard wired into a router and mine is wirelessly connected. We have a single e-mail address. Until recently when a message came to our address it was received in both computers. We could independently read, delete, forward or what ever. We could save as we wished all independently of each other. Now only one computer receives the message and the other does not. If I forward to my wife at our address and my wife opens it first it works but if I forward it and open my inbox before she does I will get it but she will not -- only one location get it. There has been one change that may be involved here. Both computers were loaded with Norton Antivirus 2005 at the time this problem started. Norton (India) claims no problem and Comcast can't help either. I can't reach dell or Microsoft. We use Outlook Express. Can anyone advise?

Does comecas only offers you one email address? anyhow thats besides the point
OE has 2 nice options... one is if you were to get a diff e-mail address you can set up multiple identies. (this is found under "FILE --> Identies") or what could be happening is that norton removed the option to leave copy on server. this is found under TOOLS--> ACCOUNTS--> PROPERTIES (on the account of course) -->advanced tab.
there should be a check box there
