Q: Subtotal function in Excel doesn't work as it should

In Excel 2003, I have instructed that there be a sum of the dollar amount based on the grouping of each change of account number in another column.

What happens is that there are several subtotals of the same account number.

How to rectify?

Hi using Win 7 Excel 2007.

I have a multi-sheet workbook. When I did a "subtotal" on one sheet, Excel created new columns (1,2,3) for those subtotals.

When I copy a row(s) from this sheet to another, Excel insert these new columns on the new sheet.

(1) I just want the data from that row, I don't what the subtotal columns on the new sheet! How do I turn off these subtotal columns?

(2) question: I'm using a MACRO to copy the data row(s) from the first sheet to the second. When I open the Excel,
It has a "security Warning Macros have been disabled." message. What do I need to change to have the Workbook open with Marcos enable? Also does it matter if my Marco is "private" or not? Now it's not private.

I have an Excel spreadsheet that uses the SUBTOTAL SUM function to add up grouped data - a subtotal is displayed at each group level. When I collapse the groups, the SUBTOTALs are displayed. I get a table that has the subtotals of all the groups without all the individual line items being displayed. If I apply a filter, then collapse the groups, the SUBTOTALs are no longer displayed. I tried using the SUBTOTAL 109 function, but that didn't work.

I'd like to be able to filter the data, collapse the groups, and have the SUBTOTALs of the filtered data display. Any ideas?

I've tried a Pivot table, but am not sure that is the answer, but I am open to suggestions.

I am running Excel 2003, and I have written a macro to move data around as I need it etc. Everything works fine until I get to the subtotaling. I want this to be totally without any intervention from users when it runs. My problem is when I subtotal, I get the dialog telling me Excel tells me it can't determine the header row (which included in the selected range). Below is the VB code that I use to subtotal. I have also attached a sample of my spreadsheet.

I'm having some problems with the subtotal function on Excel. (Windows 7, MS Office ... the most recent one; the computer's brand new.)

I'm keeping track of my check ledger. Each check payment I make is entered into a spreadsheet. I have about a thousand entries. They look something like this:

1235 - 2/14/10 - Home Depot - Personal - Home Remodeling - (45.00)
1236 - 2/14/10 - Office Depot - Business - Office Supplies - (60.00)
1237 - 2/17/10 - Bob - Business - Accountant - (1000.00)
1238 - 2/17/10 - Home Depot - Personal - Home Remodeling - (34.00)
1239 - 2/19/10 - Office Depot - Business - Office Supplies - (20.00)

So let's say I want to see all of the business expenses I paid by check last year with subtotals by type of expense. This is what I do: I go to the fourth column and filter out everything but "Business." Then I go to the second-to-last column and sort by alphabetical order, to group similar expenses together. I go to Data > Subtotal, and select that under each change in the second-to-last column I want a subtotal to be added.

This sometimes works as expected and sometimes not. When it doesn't, Excel seems unable to recognize that all "Home Remodeling" expenses are of the same type. It will add a subtotal after each "Home Remodeling" Item, or after two or three "Home Remodeling" items, or whatever. It seems very random.

There's a difference between subtotal, the worksheet function and subtotal, the ... err ... "tool".

Pedantry aside, You're having problems when you go to "Data > Subtotal". So try something else. Something better, even.

You want to analyse your data by (i) year (ii)" type" -- use a pivot table then. See from B3 of the "Pivot" sheet in the attached that you can flip between "All", "Business", "Personal" way easier.
(a "dynamic" named range allows for additional data on Sheet1, just remember to right-click the pivot table and select "Refresh Data" to update)

A pivot table will do exactly that. The only trick you need to know is to use the Group function on your Date field and select Quarters or Years and Quarters if your data spans multiple years.

If you have taken anything out of startups via msconfig please go to Start – Run – type in msconfig – click OK and click on the Startup tab. Put a check mark beside everything you see listed there and then please do the following:

Click here to download HJTsetup.exe

Save HJTsetup.exe to your desktop.
Double click on the HJTsetup.exe icon on your desktop.
By default it will install to C:\Program Files\Hijack This.
Continue to click Next in the setup dialogue boxes until you get to the Select Addition Tasks dialogue.
Put a check by Create a desktop icon then click Next again.
Continue to follow the rest of the prompts from there.
At the final dialogue box click Finish and it will launch Hijack This.
Click on the Do a system scan and save a log file button. It will scan and then ask you to save the log.
Click Save to save the log file and then the log will open in notepad.
Click on "Edit > Select All" then click on "Edit > Copy" to copy the entire contents of the log.
Come back here to this thread and Paste the log in your next reply.
DO NOT have Hijack This fix anything yet. Most of what it finds will be harmless or even required.

When I go to "search" I get the basic box but it is empty. There are no options within the box. What files make up this function? If I can pinpoint what is missing I think I can get it working again.

I search by hitting Programs, then search. Win XP 1 gig ram, 250 gb HD etc. I think a malware program deleted a file thinking it was bad.

Open Explorer and go to the Windows\Inf folder.
Locate the srchasst.inf file. Right click it and select Install.
You'll need your XP CD or the files from the I386 folder.

The Windows\Inf folder is a hidden folder. You can adjust your Explorer Folder Options (View tab) to Show hidden files and folders.
Windows Explorer/Tools/Folder Options/View
Check ?Show hidden Files?
Uncheck ?Hide protected system files?
Apply

You can also click Start, Run and enter %SystemRoot%\Inf to open directly to the Inf folder.

I use Xp Home and nwo whenever I try to search somethign , ANYTHING , i get a dialog box , on which only F....... and some ... aer writtten , and there is no error no nothing , just that dialog box , on which I hve only 1 button to click after which I go back to search page.
Is there any service required to run in the startup for it to work ??

Coz I have turned off many services , but that was a long time ago, this started happening recently

Have you checked to see if the search function works in SafeMode?

Have you installed any updates to the current software like your AV program for instance?

Anyway, the first thing I'd try would be to run SFC from a command prompt within Windows XP and see what happens

sfc /scannow

BTW, in reference to the services, I doubt that's an issue. Windows XP will start a service if it's needed, regardless of whether you've disabled it.

I running Windows XP Professional with Excel 2003. I am trying to use the SQLOpen function in Excel but I am unable to get this function to work. I keep getting a 'function not defined' error. I am using the Microsoft Activex Data Objects 2.5 library. Do I need to use another reference?

Check ODBC addin on the tools menu where obscure functions are. I'm not in front of computer where I used it, and it was long time ago, but it rings the bell IF I remember more I'll post back. I do remember having to do some work in VBA so that the ODBC parameters go to the registry one so users don't have to reenter over and over.

I recently installed new hard-drives, 1 master and 1 slave. I still have all of my data from the new drive transfer, I can install and run programs on my new drive, but some of existing applications aren't working properly.

The most critical is my problem with " System Restore". Everytime I run System Restore from the Start Menu > Accessories > ... , I get the pop up for debugging it. The pop up is the grey box that says "Send Error Report or Don't Send". While it was working I used it everyday, but now it always crashes when I open it up. What happens if something bad happens to my PC, how will I be able to restore my PC to an earlier secure stage? Please help me, it's critical that I get use of my System Restore back again. Do I have to reinstall WinXP again or what?

Microsoft Word keeps telling me to "repair" the program everytime I open up a word document. Now, I'm able to open up a word document, read it, edit and save. But when I open them up it also talks about the repair, a "Windows Installer" box pops up, then disappears, afterwards telling me to reinstall\repair Word 10.0 or something like that because there's an error in Microsoft Office. Should I reinstall\repair my Microsoft Office CDs?

I recently upgraded my 3 computers to Windows 8.1. Only 1 PC (INTEL) is working as it should. The other 2 PC's are AMD based and the search function is acting funny. When I search it gives my the results, but when I click on says I'm looking for DEVICES AND PRINTERS and I search "printers", it gives my the result. If I click on DEVICES AND PRINTERS tab it doesn't respond, but when I click on say my Canon printer's link to MY PRINTER it responds. I ran SFC/SCANNOW and also DISM (Micorsoft actually ran it) and nothing changed. It sometimes locks me onto the Meto screen and I have to reset the PC to get back to my normal Desktop. When it does that non of the Metro tiles works. Micorsoft technician also tried to create a new user account which comes out blank and when creating another account, as soon as you log into the account it immediately signs out of it and don't allow you access. I tried to refresh the pc, but the frustrating part is, it asks you to choose a keyboard layout, but disables all USB and PS ports. Now how do I choose a keyboard layout, unless I have a touch screen. Microsoft really didn't think this trough. Is there anybody that perhaps now how to get the searh to work. Oh I do have searchindex.exe in my system32 folder and in services I stop and restarted Windows Search, but still no change.

Problem solved. After Microsoft technicians tried everything and my PC crashed I decided to just redo. Then I found out that a program called Wisecare 365 that I was running on my Windows 8 PC caused all the problems. It went and deleted registry and other files that windows 8.1 need to operate with. So it's no longer on my PC and so far Windows 8.1 is running fine.

I have about 600 gigs of storage space and windows search doesn’t work so I’m a bit frustrated at this problem.

When I run windows search function I get 2-3 recently created files and nothing else. The process of getting these results take less than a second sometimes and it doesn’t comb threw my folder structure the way it used to. I have indexing on and I’ve had indexing off but this does not effect the results. I’m not sure when this problem first popped up but I assume it was about 4-5 months ago when my step dad changed my network settings because of some bad advice from some tech support who didn’t know what kind of system I had.

I’ve tried using “Windows Desktop Search” and that didn’t work either so I uninstalled that. I don’t want to use 3rd party search programs just because the windows search has worked fine for me so far with the exception to this. Any help is appreciated

It sounds as if System Restore may have become corrupted. You can try reinstalling the feature. Here's how:In Control Panel or Windows Explorer, click Folder Options and then View tab
Under Advanced Settings, scroll down and find "Show hdden files and folder." Check the box.
Find "Hide extensions for known files types." Uncheck that box. Click Apply, OK.
In Windows Explorer, find your Windows folder (usually on the C: drive but not always). Navigate to the inf folder and open it.
Find a file named sr.inf
Right click the file and select Install.

Important: This creates a new installation of System Restore, but it will delete any restore points that you had created previously.

Recently I've come across a situation where my computer will boot with no keyboard function. I cannot enter bios, boot in safe mode, etc. However, upon Windows 7 loading I have full function of the mouse. That is until I hit any key on the keyboard, then I lose left click function only. I can still move the mouse, I can still right click with the mouse. I also noticed that caps lock and number lock did not work either.

I figured that maybe the keyboard was bad and so I plugged in a different brand new keyboard and booted up the computer. Everything worked fine. The keyboard worked flawlessly, the mouse had no problems at all.

Restarted the computer to install windows updates, and upon the next boot I once again was left with no keyboard function and then once again no left click function.

These problems only began after a program was uninstalled due to it freezing up during use. (The program was a puzzle game that was purchased and installed from a reputable game website)

I am at a complete loss, and I cannot tell if this is a hardware problem or a software problem or even a virus problem.

Both the mouse and keyboard are USB. Other USB devices work fine, including a headset, a printer, and a scanner.

Any help is much appreciated!

Hi,
I've had this problem for quite some time and I think its about time I tried to sort it out.
I have a Toshiba satellite Laptop running windows XP and the latest WMP is my preferred media player.

About a year ago I had a Virus on this laptop that wouldn't allow me to connect to the internet. A friend took me through the steps in the security and the web part of this board and we dealt with the virus.

Ever since the play all function in windows that appears when you have media files in a folder has not worked. When I click play all I see the hour glass briefly but then nothing happens. If I try to select the files I want to play right click and then play all again nothing happens.

I don't get any warning or error messages, its as if the computer is ignoring my request

double clicking on a single file opens it in WMP normally.

I don't know if it is related but when this happened the quick media buttons on the laptop which allowed me to open WMP, play, pause, stop and select next track also stopped working and still don't.

To fix the file playing issue, try reinstalling WMP.

The buttons need special software installed and running. Try downloading it from Toshiba and reinstalling.

I have a Gateway PC, 5 or so years old, running Windows XP Media Edition.

A few days ago, soon after having installed some Windows updates, my wireless Microsoft mouse and keyboard stopped working. I plugged in a spare PS/2 mouse, and in the bluetooth dialog box removed, added, and reconnected both components. The wireless mouse and keyboard worked, but not for long. I then uninstalled and attempted to reinstall the mouse and keyboard software (except that the software apparently had not uninstalled). This did not fix the problem.

From here on I tried so many things, I do not recall in what order. I did a system restore via Advanced System Care, then tried again using a much earlier date. After a very long wait I was informed that my system could not be restored to that date.

I ran Reimage, which reported a moderately severe stability problem with numerous crashes. This program fixed and replaced files, etc, but got stuck while attempting to reinstall Windows updates (during repairs, Reimage removes Windows updates and reinstalls them afterward, but for some reason this last step has never worked with my computer and I've had to reinstall the updates manually). The computer was frozen and I was forced to turn it off using the power button. When I turned the computer back on, I had no working keyboard or mouse, and again had to use the power button to turn off the computer.

Dell XPS laptop, Windows 7, came with preloaded Windows Office.
 
The Excel shortcut has stopped working (After 2 years trouble free).
 
Now when I click Excel, Word etc a "Windows Installer" pop up box appears with the message "Preparing to install". This stays for several minutes then shows an error of Fatal error during install. Excel doesn't load.
 
I can run Excel & Word using the    Run    command (Run    then   Excel.exe).
 
I could continue to work like this but it is time consuming and there might be an underlying problem that I am making worse.
 
How can the shortcut be made to work again?

excel.exe
right-click the "excel.exe" at the top of the list and select "Open file location". Right-click the "excel.exe" file in that folder, drag it out to your Desktop, release the right mouse button and select "Create shortcut here".

An employee is trying to "save as" an Excel file and it won't work, he clicks save as and tries to select the folder and he said it "blanks out" on him. He was able to save the file under a different name in the same folder. He is doing that now and then will attempt to move it. He's using Windows XP Home and Excel 2003.

Any ideas?

I can't get a hyperlink I put in an Excel worksheet to open a Publisher file. If I point the hyperlink to another types of files (e.g., Excel, or Word, or jpg file) it works fine. But if I try to point the link to a Publisher file I get the message that "...some files contain viruses ... blah blah... Do you want to open the file?" I click OK then get the error message "Publisher cannot find the file you specified. The next dialog box will let you browse to locate the file....." Then I locate the file, click OK, and it opens. Same path and filename. I've pointed Publisher files all over my computer with the same results.

Any ideas???

I get the same message you do, but it then opens right up.

Are your publisher files associated with the correct Publisher program?

Do you know how to set a file association? I would double-check it just to be sure.

Meanwhile, never hurts to clean up your PC in case some temp file is getting in the way: www.theofficeexperts.com/cleanyourpc.htm and then maybe try running detect and repair on Excel.

In Excel 2000, I could use the combination ctrl-end and it would take me to the lower right-most cell in the worksheet. Using that with the shift key would enable me to highlight a range to be used in a Pivot table or to apply formatting to the selected cells, et cetera.

Is there an equivalent combination of keys in Excel 2002?

Hello,

I'm an editor for an online media company. Most of the time I work in Word; sometimes I get assignments returned to me for editing in Excel. The thesaurus doesn't work in Excel. When I click the word I want to look up and hit shift-F7 I get the thesaurus but it doesn't allow me to select a synonym or even scroll down to see other options. The thing pops up but has no functionality. Is this just some Excel '07 bug or is there a fix? Found nothing on Microsoft site. I work on a network using XP, haven't tried this yet on my notebook (Vista) so don't know if the operating system is a problem.

Somehow, invisible characters get in there, so when you do Ctrl+End, it will throw you into the bottom right somewhere, just not in the bottom right of your data.

Sometimes you can just delete a few rows and columns around where it takes you, go back to cell A1 and save (that resets it).

What puzzled me this last time, which is how I found the above article, is that that didn't work.

Here's what to do.

***************************************************************************

First, try this:

1) go to the bottom right of your data manually
2) arrow down 25 or so rows to give you some room
3) highlight the entire row directly underneath your data
4) Shift+Arrow Down a few rows . . . keeping Shift held down, press Ctrl+Arrow Down - that highlights everything below, down to row 65,536 (keeping the Shift key held down, you can arrow up)
5) right-click on the highlighted area, and select Clear Contents

Now do this for the seemingly empty columns / cells to the right of your data . . .

1) go to the column to the right of your data manually
2) highlight the entire column

Hi,

I can enter values in the Page Setup dialog box, but the disappear during Print Preview or actual Printing. The other footers and all the headers are fine. I also tried entering a range through VBA, and that doesn't work either.

Other Excel files work fine.

It could be a margin issue. Can you post the file in question? If the data is sensitive, replace it with non-critical or nonsense data.

Can anyone help with my formula? It's based off 3 bits of data in a table below:

Illinois FeeIllinois Total FeeIllinois Pages $ 0.96 $ 24.00 Pages 1-25 $ 0.64 $ 16.00 Pages 26-50 $ 0.32 Pages 51+

Here's the formula: =IF(J15<26,L2*J15,IF(J15>25,SUM(J15-25)*L3+SUM(M2),IF(J15>50,J14*L3)))
J15 is cell with the number of pages. The IFs are if the number of pages are less than 26 then multiply by .96 (cell L2). If it's more than 26 but less than 50 multipy pages 26-50 by .64 (cell L3) and add the total from the first 25 pages which is 24.00 (cell M2). Finally, if J15 (number of pages) is 51 or more, multiply the number of pages (that are 51 or more) by .32 (cell L3) and add cells M2 (24.00) and M3 (16.00) along with the total number (# of pages that are 51 or more at .32).

It works fine for the first two scenarios but when the number of pages is 51 or more, it multiplies by .64 as opposed to .32. Any help is greatly appreciated.

Your 2nd if IF(J15>25 will evaluate true as long as it is more than 25 pages, which is true for 49pages or 51pages, so the false portion will never be triggered.

You need to add another criteria at L4 = .32
=IF(J15>25,M2,J15*L2)+IF(J15>50,M3+(J15-50)*L4,(J15-25)*L3)
I split your nested IF to 2 independent IFs.
The first part will evaluate the first 25 pages.
For clarity, you can split the 2nd part to 25-50 and >50.
IF(J15>50,M3,(J15-25)*L3)+IF(J15>50,(J15-50)*L4,0)
but since the criteria, is the same I merge them together.

In my Excel 2010 file and in one of its sheets I have a small table. As following, when I checked the Total Row option in Table tools > Design > Table style options > Total Row the tabled appeared as follows. But it is against of the info when I hold the mouse pointer over the Total Row check box because that info says: The total row is a row at the end of the table which displays totals for each column. But in practice it only displays the total for the last column not each column! Any idea why?

Your problem is not all that clear, but from what I can see from your post, that one column results seem to be correct.

This is from Excel 2013, but I think they are very similar. If you want to total the other 2 columns then you need to carry out that procedure. If you click on the Totals row below each column & click on the Totals icon & select Sum, the column will highlight & the formula will show in the formula slot & the total for that column will be entered. Do this for each column. refer to screen shot.

Also if you click on the little arrow beside the Totals icon more alternatives are shown.

I have found several issue on excel now I'm using windows 7.

When you select multiple cells, using control, they aren't highlighted.

I also have issues with excel crashing all the time, even on relatively small files and running on a 8Gb machine

Anyone else having the same issues?

Welcome to Seven Forums.

I did not have this problem with Excel 2007 when I used it in 7. First I'd try doing a repair install of 2007 to see if that fixes it. If not, I would do an uninstall/reinstall of Excel or maybe the whole suite. I had a prob with Outlook 2007 that required me to reinstall the entire suite. Only thing I lost were the jumplists on the pinned icons. All other settings remained.

I've had windows 10 for several months (previously had windows 7). Up until yesterday, when I clicked on "all apps" an alphabetical list would come up, I'd scroll to what I wanted, and click on it. If there was an item with a sublisting, like Microsoft office a down symbol would appear. Click on that and the sublisting would appear and I could select word, excel, etc. Now when I click on the down symbol it just flips to an up symbol ^ and no sub menu appears. I'd really like to get to excel. This failure to bring up a sub menu happens for every down symbol, not just Microsoft office. What do I do? Try to re-load Windows 10? Uninstall and reinstall Office? Thanks

Hi, do you have any idea what happened yesterday? For example, if you look at your update history- did you receive an update?

Do you have System Restore on, and do you have any useful restore points?

Do you use system imaging (Windows Backup and Restore) or disk imaging which we keep strongly recommending here; that means you can restore an image previously created and get your Windows back running as was without technical help - and even recover from a disk failure or an unbootable PC? (e.g. Macrium reflect (free)).

Those could give you ways to recover.

What is your build version? (Windows key + R, winver).

If you haven't started using those vital recovery methods yet, you could try this:

Hello all,

First I made some contents and drew a border from Home > Font > all Borders on an Excel 2010 file. So it became like below image (capture1). After that I wanted to print it so went to File > Print to see its preview. But the problem is that the lines between tue and wed and also between mon and tue are not shown neither in preview nor when printing. The height of row 7 until 17 is 24 (that is 32 pixel) but heights of the rest of the rows are normal (20 pixel).

Any idea about why those lines aren't shown?

This is literally driving me nuts. I've created a workbook with about 15 worksheets and prior to sending to the customer I want to lock the cells so that they can't be changed without a password. So, I first select the cells I don't want to be altered and lock them. Then I go to "protect worksheet" and after checking the box that allows people to select cells in the locked section (selection of sells in unlocked section checks automatically) I enter a password twice and the worksheet is theoretically locked.

The problem is that it's not. I can still change cells in the locked area. It didn't work on any of my worksheets. So I went back and unprotected the sheets and then selected and locked the cells TWICE, after which I protected the worksheets again. This time some, but not all, of the worksheets had locked the cells protecting them from editing. I then tried to go thru the same rigmarole but locking the cells three or four times before protecting the sheets for the sheets that were still unlocked, but that only worked sporadically as well. Sometimes I had to dis-allow selection, lock the cells in the sheet, unprotect it, lock the cells again twice, and then check the select box and protect the sheet AGAIN. That FINALLY worked.

What the heck is going on? Why doesn't locking the cells just lock them? This is getting *very* frustrating.

Note: On one of the sheets even the above rigmarole didn't work. I can't get the cells to lock no matter what I do.... Read more

I have been using Microsoft Office Excel (2007) and the copy paste, copy Special paste functions have worked fined. Recently Copy paste does not work every time, the cell that I am copying from does not highlight and when selecting paste, nothing is pasted. When selecting Special Paset, I don't get all the options for copying All, Formulas, Values etc, I only get the option to Paste as Unicode Text or Text.

I tried the copy paste function in Word, this works but does not copy the format, only text is copied. I have restarted the computer, but this does not change anything. These functions have always worked in the past, this has only become an issue after I installed Firefox on my computer. I don't know if the two are related or just a coincident.

Before I re install MS Office, I would like to see if this can be resolved

Any support with this is appreciated.

I try to save an excel sheet with comma, but I always receive semicolon. I know that I have to change Format in Region to English USA, but it still remains semicolon. Can somebody tell me what I could do ?
I am using windows 10 and office 2013 on a HP Pavillon g7 and a few weeks ago this has worked.

Hi all,

I have a small table and want to copy it after filtering. The image is in below (image no. 1), and I have filtered it to shows only the red font color of the column "Days" as follows, (image no. 2).

Now everything is ready to start the copying! So I select all the table (Double CTRL+A inside the table) then go into the "Go to special" dialog box and choose the "Visible cells only". Then I simply copy that selected filtered range of that table and paste it as follows, (image no. 3);

As it's clear, the right-side of the image shows the result of the copy-paste which of course is very odd! Why not all of the visible rows are pasted please?

Rows 6,9,13,14,16-19 are hidden! Unhide them after the copy/paste action. You can do that by not applying the filter anymore afterwards! So the data you want is just there as you want it. Only you did hide it.

hi, I know there are many in the forum who have the same problem as mine. 
 
my computer was running fine last friday. I tried to start it on saturday, it says it can't startup and need to repair startup. I did run the repair but still can't startup. I tried to use system restore to earlier dates, it still can't startup. The computer has trojan virus before and I tried the anti-malware from internet to kill them. seems that it create more problem for my PC. I have some important files in the computer that I wish I have archived.
