Hello,

First let me compliment you on a great site!! Great info to learn and help people with. My donation is forthcoming.

I am a novice but I am trying to save my company some $ by not calling their IT consultants out to do this. We have a user account in Active Directory named Development. We do not want to change the name of the account but we want to change the e-mail addresses associated with the account because we have a new employee who is taking over that position and we want her e-mail to be changed to her name (i.e. jmahoney) but her logon will still be Development.

What would be the best way to do this?

I right click the user name and go to properties:

On the General Tab: Should I change the Display name from Development to the new user name (Jmahoney) and the email: from [email protected] to [email protected]?

Also, on the E-mail addresses tab:

Should I edit the following:
ccmail
SMTP
smtp
X400
X400
X500

When creating new user accounts, it appears as though the Exchange mailbox is created. However after going into MS Exchange > System Manager and viewing the mailboxes, it doesn't show up. Nor does it show up in windows explorer.

One other thing, under Recipients > Recipient Policies > Email addresses (Policy) tab, X.400 is checked off along with SMTP as one of the generation rules. Now when the user is created, an X.400 address isn't generated automatically, only an SMTP one. So when I try to setup Outlook, it can't verify the person's alias, because it says it doesn't exist. When i created accounts before, it created both an SMTP and an X.400 address, now for some reason it doesn't.

Any ideas???

Hi guys,

I have had trouble with Outlook over the last week. The problem is I was on a MS exchange server and had a mailbox. I won't be on the exchange server any more. I have all my information on my pc locally in my mailbox. I want to move everything from one pc to another. I have Archived my items to include everything older than today. But the Archive doesn't include everything up to today. Three months out of date. I have tried to export my Mailbox but Outlook keeps telling me I cannot do that because the file is not a .pst

Help I need to bring everything with me from this pc.

I have tried to work offline and export to a .pst it doesn't work. Help!!!!

There is a user that claims they have a missing .pst file. I cannot find any .pst files on the hard drive except a like 265k .pst. There is really nothing in it. They said none of the mail in their Outlook box on the server has this info in it. Is there a way to recover 1 mailbox from the Exchange Server or what else can be done to locate the mail. Would the .ost give more info?

I have a customer service account on the server that an employee uses along with her regular email account. For some reason she cant get those emails and when I re-created teh account, now she shows 2 CS mailboxes under her main mailbox and both of the CS folders willnot open, it says they nolonger exsist. I want to delete them and start over but It will not allow me to delete them from her outlook.

Hi:

I am running Exchange 2000 and have a user that set up the out of office assistant when he was on vacation. When he returned he found out that he couldn't turn this feature off from Outlook. He gets the error message: "The command is not available".

I'm assuming that his exchange rules are corrupted but, how do I fix his mailbox?

The easiest way would be to create a new distribution group in Active Directory and add the users who will be receving the forwarded e-mail in that new group. Then set the E-mail forward feature to forward to the new distribution group

I was just wondering how various people and companies manage their mailboxes, do you just set a warning message in the mailbox get to a certain size.

Anyone prohibit sending when the mailbox reaches a certain limit.

How many of us archive off to PST instead of a bespoke Exchange archiving system.

How do you keep a check on your mailbox size, and how many mailboxes do you have, both live and dormant.

I would be interested to hear all of your views.

I'm having a problem with Exchange 2003. This happened this happened this past Friday around 4 pm. The mailbox was unmounted. I tried to mount the mailboxes but there were errors. I notices that the Microsoft Exchange Information Store service was stopped.

For Exchange 2010:
 
- Stop the Microsoft Exchange Search Indexer service. Run Stop-Service MSExchangeSearch if you are into Shell.
- Browse to where the database files are located on the disk. Along with the database file, you will see a folder with “CatalogData-random string” as its name. Delete this folder, which stores the corrupt index.
- Restart the Microsoft Exchange Search Indexer service. Run Start-Service MSExchangeSearch if you are into Shell.
- Give it a minute and a new folder will be created and a new index will be built.

In MS Exchange 2003, when you deleted a mailbox, it was easy to permanently delete the mailbox by right clicking on the server and running a wizard. This doesn't seem to exist in the management console for Exchange 2007. I now have a mailbox that is in the Disconnected Mailbox under Recipient Configuration, and is orphaned (no AD account anymore), and I can't get rid of the mailbox permanently. Is anybody able to assist?

I was wondering how various people and companies manage their mailboxes sizes. Currently we have no mailbox size limit set and some of the mailboxes are over 10GB in Exchange 2007

I am planning to apply mailbox limits and would like know:
1 How to archive the mailboxes to bring down the initial size from 10GB to 1 GB? Using the Outlook Archive functionality or some other automated tool?
2 How to manage archives/PST files? Where to back these up?

Any suggestion/recommendation will be appreciated.

Ok so here's the scenario:

We installed an Exchange Server (2007) at HQ. Our company consists of 5 branches, with different mail domains (i.e., @pen.com, @thrash.com, etc.). Last weekend we switched one branch (the pen.com domain) to the exchange server. Now they can send and receive emails fine, but when sending email to another branch (i.e., [email protected]) the mail is going straight to the exchange box and not to their public POP3/SMPT box on the net. So noone from the other branches can receive email from the @pen.com domain.

Is there a way to fix this?

I am an idiot.

I want to get that out of the way to save everyone from having to point it out.

I have been having trouble with the system I am responsible for, and in an attempt at housecleaning, I deleted an unused account in AD Users and computers. This account had been created and disabled long before I arrived on the scene, and having been in this disabled state for almost a year, I decided it was safe to delete it.

What I did not realize is that there was an Exchange mailbox linked to this account that was actively in use. When I deleted the account, mailbox when away.

The system is backed up regularly with Veritas Backup exec, however my knowledge of this system is limited to changing tapes.

I am responsible for many aspects of technology at this company, and one of my responsibilities is maintaining Win2K, Citrix, Exchange and Veritas. I don't particularly enjoy it and I know enough to keep thing running. However I am, obviously, no expert. If anyone can offer advice, I would be most appreciative.

I've been away from the Exchange evironment for awhile, but I believe I recall that you cannot restore an individual mailbox (may have changed with newer versions). You have to restore the entire post office.

I have a user who through Outlook 2000 is opening 3 mailboxes (Exchange Mode)

She wants to be able to set an out of office message on two of the mailboxes (not her personal one)

Can this be done within the outlook client or only through OWA?

I personally would choose OWA - why create more confusion with the client? And if the client doesn't work - you'll still have to do it on OWA anyways...

I get a UNABLE TO OPEN error when I try to open added mailboxes to a users account. Ive been through all the steps but cant seem to give them access to it. Of course I can open them if I iinstall them on my outlook, most likly because I have full admin rights. How do I grant access to these mailboxes to another user? Even if I log into the domain as the original mailbox user, then delegate access to the other user, they still can't open the folder.

If you give access to someone your mailbox on the Microsoft Exchange Server, and you have "sub-folders" created in this mailbox, can someone tell me if you have to provide "permissions" for each and every "sub-folder"? so the other person is able to view all??

Hi All!

I am aware you can set a default mailbox size for all users from the mailbox store and also for each individual user....

What I need to do though is set a size for say, a group of 15 users, a group of 60 users and a group of 1000 users! How is this possible? Is it done via a group policy opject and if so, how?

In Exchange 2000 server, is there a way to allow access to another's mailbox? I know in 2003 you can set permissions in "Exchange Advanced" tab in ADUC. Exchange 2000 doesn't seem to have the "Exchange Advanced" tab. I've looked far and wide in 2000 and came up empty.

Hi Guys

I have a 2k3 server witk Exchange 2k3 installed. I have the infrastructure in place correctly i think because i have run smtpdiag and all test have passed, furthermore emails sent from external accounts to my domain can be seen in the messege tracking centre, but thats where they stop and dont get routed to my mailbox, messges sent to external recepients also dont get sent but also appear in the messege tracking centre. I am Stumped as to the reason why and can seem to find much on it.

Any ideas would be great

Currently I have an Exchange Server 5.5 running. I just built another server with a different Organization & Site Name. I would like to transfer my accounts & mailboxes (old email, etc.) from the old server to the new one. Of these mailboxes on the old server, some of the users are not local so I can't transfer their account info. in person. On one user on our exchange 2010 server nod32 antivirus have corupted all the users email message while adding the "scanned by nod32" footer.

Hey everyone,

I've been charged with the task of cleaning up our bloated Exchange Store and setting then enforcing quotas and I was wondering if there are any standard practices for this as far as these settings go:
Issue warning at (kb).
Prohibit send at (kb). <--right now there are mailboxes that range from 30mb to 8gb.
Warning message interval. <--if set to 1:00am does this option send a warning email to the user or what?
Keep deleted items (days).
If there aren't really any standard practices here, what do you all personally use for these settings?

I have a network running SBS 2003 and Exchange Server 6.6. All client pcs are XP except one that was recently replaced with a PC running Vista Ultimate. The Vista pc is able to access all resources on the network except for the user's existing Exchange Mailbox (using Outlook 2003). I have installed all patches and service packs to Outlook. When I point Outlook to use local personal folders, it launches fine but when I point it to use "Mailbox - %username%" I get the message:

"Cannot start Microsoft Outlook. Unable to open Outlook window. The set of folders could not be opened. The server is not available. Contact your administrator."

Unfortunately, I am the administrator and am totally stumped. I have scoured forums for solutions and have tried many with no success. I believe the problem is Exchange Server not recognizing the Vista client.

I have turned of UAC and "Use Cached Exchange Mode" - no help
Setting up the Exchange acct I have not problem resolving the server and user name.
Only problem is when I select existing exchange mailbox as location to deliver new mail

Please help!

The client has stopped working database. But with the help of eseutil and isinteg utilities it was possible to lead a normal state. But there were some problems.

Some users could not open up mail in another users shared mailbox.

Some users appeared mail from other mailboxes.

One user could not see any new mail in cached mode in outlook.

It seems to me that there was any damage. I think to create a new database and copy all data into it.

Office tech info:

SBS 2008 Client using outlook 2010. Total mail database size = 15 GB.

What would be the best method of achieving a fresh database and moving old mail across?

My organization is currently running Exchange 2007 in a test environment and I am now the first person to officially "break" their account. For some reason, my mailbox is over 400 Mb even after I've deleted absolutely everything in my all of my folders and recycle bin. My Outlook 2007 client reports that my mailbox is empty, but our mailbox quota of 100 Mb is still enforced if I try to send messages and I am alerted daily by our Exchange server that I am over my quota. When I log into Outlook Web Access, it displays the message stating the that I am over my quota and the size of the mailbox. The mailbox database on the server also records my mailbox size as over 400 Mb.

Any ideas?

It really depends on the configuration but few things to check or ask if you have IT guys:

If you have Outlook Web Access connect with that and see what the mailbox is like.

Assuming you've done this but empty deleted items, check if your in cached mode, check what type of mailbox you have or if a connector is running (IMAP, POP3 etc) disconnect and reattach the mailbox to the account.

Lots of other things to check but try those first.

I have a site with about 30 users, running Exchange 2007 on Windows Server 2008 R2, with "roaming" profiles and "cached Exchange mode" enabled.

One user has a mailbox size (cached OST) of 9.5gb, with the server size slightly larger (about 9.6gb)

I have found and implemented the MS KB article regarding the maximum mailbox size, and increased her mailbox via the registry to the maximum size supported, which is 51gb. This should be PLENTY of space for her, but as soon as she logs out and back on again, the registry values return to the default values.

So... I implemented a group policy to "force" her computer to the 51gb maximum, but she is still getting errors that her mailbox size is over the limit, and she needs to archive her mail. And I have archived a bunch of her mail, but she's still getting the errors.

Also I have ran SCANOST on her OST file (didn't help) and renamed her OST file and allowed Outlook to rebuild it, which worked for about half a day, then she started having problems again.

Any suggestions on how to get Outlook to stop thinking the mailbox size is over the limit?

Did some more digging today, and while I was doing that, got a pop-up notification in the task bar stating that there were too many items in the "Sent Items" folder, and that mail would be sent, but stay in the "Outbox" until space was cleared up in Sent Items.

So I archived anything in Sent Items older than 3 months, and that brought the total OST file down to just under 2gb. The mail in the Outbox was still there, so I checked the message tracking from the server, and found that 12 of them (out of 28) had actually gone through, so those were just dragged from the Outbox to the trash.

The remaining email messages were just double-clicked and Sent (again?), and went through.

I didn't really pay attention to how many items there actually were in the Sent Items folder, but estimated there were a lot as they went back as far as 2008. Is there a set number of items defined anywhere that would stop mail from being sent when this number is reached? I'm not referring to "performance issues", but more of a "hard stop" issue.

Yes, create a user account in Active Directory Users and COmputers with a password. Once it is set no one can access the account without the proper network login. Use roaming profiles as well.

I'm automating the ADMIN process via vb scripting. we are having two different server for "Active Directory (LDAP)" and "Exchange Server 2003". "Test Linux Server".

Now I need to create a email box for a particular user those who are having account in AD.

I found a utility for MailBox Creation.
The name of the Utility is : ExchMbx.exe

If we provide the DNstring to this utility it'll create the mail box for that user.

Example :
dsquery user -samid mkautomate | ExchMbx.exe -cr "CN=Mailbox Store (BLREXCH01),CN=First Storage Group,CN=InformationStore,CN=BLREXCH01,CN=Servers,CN=First Administrative Group,CN=Administrative Groups,CN=VITAGETECH,CN=Microsoft Exchange,CN=Services,CN=Configuration,DC=vitagetech,DC=com"


otherwise we can given -b and DNString


I placed this ExchMbx.exe in C:\Tools\ dir.


from the command prompt I called this exe with the above option, I could create the email box for the given user.



So for I does all these executions in Exchange server directly (mstsc RDP Connection as domain + exchange server + enterprice admin).

Hi,
I have an issue with Exchange 2003 ebd mailbox. Here's a summary of what I wanted to do and a brief description of the problem:
The server has 2 mailbox stores, Just going to call it Store 1 and Store 2. Store 1 has a approximately 80 mailboxes and Store 2 has about 20 mailboxes. I am trying to move 20 mailboxes from Store 1 and Store 2. I am using the Mailbox Move Wizard to do this task. During the process, it failed halfway as the number of corrupted items exceeded my threshold of 100 corrupted items to skip.
I've tried to run an off-line defrag but the defrag failed to run. It took sometime to move to 1% and then it will fail and abort the job.
Instead of me having to go to 20 workstations to export the mail to .pst and then reimport them back into exchange, is there a way for me to repair the corrupted items on the ebd level?
Please advice.

You will need to dismount the store with the corrupted mailboxes in then run eseutil /p followed by eseutil /d and then isinteg to rectify the problems. For reference - here is a good article on ESEUTIL and ISINTEG. If you get stuck running these commands please ask for more guidance.

We had a hard drive crash and bought a new computer to replace it..

New PC is running Windows 7 Professional and Office 2010
750 Gb HD
4 GB memory

The problem is Outlook does not send and receive mail unless you close Outlook then open it..

Outlook is only using 1 email account and it is setup for exchange..

I had trouble getting Outlook to connect to the Exchange Mailbox..

Finally after many tries and verifying everything was setup, like the other PC that works, I got it to connect to the mailbox..

Now when you first open Outlook it asks for the login and downloads the new mail, but never downloads mail again until you exit Outlook..

It does not get mail even if you hit the send and receive button..

The only way is to close Outlook and reopen..

We checked with our email administrator and he said it's nothing on their end..

Any help would be appreciated..

Well we figured out that the problem was the mailbox had to finish downloading 4Gb then it started working and retrieving new mail..

Hi,

We are having a little problem with Exchange Server 2000 on Windows Server 2000 where the sotre is nearing the 16GB limit. We have got all users to delete all unwanted emails, and even copied some to PST files. We then set a mailbox limit to 100mb per person. If you go through the list of mailboxes, and add everyone up, it comes to around 10GB, however, the size of the priv.edb is still nearing 16GB. We have also run both an online and offline defrag on the store, but it is still near 16GB. Do we have to run the cleanup agent to remove the emails yet again? If so, can this be one in working hours? Also, if we run the cleanup agent on the mailboxes, will we then have to do another offline defrag?

A client recently had a failure with their mail database.  The database was repaired using the ESEutil and isinteg utilities to get the database back into a clean state. (exchange 2007 SP1)
However after the above processes there have been a number of quirks that have appeared, for instance:
some users could not open up mail in another users shared mailbox
some users had all mail from different mailbox folders deleted that were from a date prior to the database going down
One user could not see any new mail in cached mode in outlook.
Generally a lot of niggly issues.  My thought is that the database still has a number of small corruptions and I would like to create a new mailbox database and move the users mail across to this new database.
Office tech info:
SBS 2008
Client using outlook 2003 sp3 and outlook 2010.  Total mail database size = 15 GB.
What would be the best method of achieving a fresh database and moving old mail across?
I have considered moving the mailbox database and log files to another location and then getting exchange to create a new database.   I would then look to create a recovery storage group and put the old database files and logs in the appropriate folder and move mail form the old database to the new one.
The other method I have looked at is to export all mail to PST's and then reimport it into a fresh database.

You're going to have to do the Database move and Recovery Storage Group.  The RSG does work and is not that hard.

give User Read Only access to secondary mailbox in Exchange 2010 via AD.
In Exchange 2010 - the only option is to give a User full mailbox access of other mailboxes, along with Send As permission.

How can I configure 'Read Only" access to a mailbox, via AD.
I know how to do it on the mapi/User level - by delegating mailbox folders.

My idea so far is to create security group, add the user and grant read only permission. - not working or I'm missing a step.

I am trying to create a link in access 2007 to a passworded mailbox on the exchange server.

I was using the linked table wizard on my inbox, but that specifies the link location as a file on my computer, and this needs to work across a network of users.

I found this link which seems to be exactly what I need, but is in reference to Office 2000:

I have a user that need access to old mail. I can try doing it 2 ways, one try extract ost to pst or extract from edb file. In the past, i think i used eseutil to extract a mailbox from edb, i remember it a gui interface. Eseutil.exe is not gui, i forget where/how i got it in the past.

Hello everyibe,
We have a hydride infrastructure, with E2016 onpremise and O365 (Exchange, teams...). On both sites we have the same users and separate created mailboxes.
We are migrating mailboxes from Ex2016 to O365 in phases to remove E2016.
Users on both sites have the same mailbox name. Example: E2016 [email protected] and O365 mailbox [email protected]
 
Issue:
When we migrate a user's mailbox to O365 and from ExchangeOnline we send an email to a non-migrated user, the email reaches the existing mailbox in O365, not the onpremise mailbox.
 
An alias has been created for non-migrated users in O365, marking themselves as main and we have tried to delete the default email address given by the username. But even if the latter is deleted, the deleted email address always appears, so the email always
reaches O365 and not E2016.

Is there any way that when a user with a migrated O365 mailbox sends an email to a user with a mailbox in E2016 onpremise, the email does not go to the O365 mailbox and to the onpremise mailbox?
 
What would be the solution to keep the default username (for teams solutions, etc) and to be able to modify the email in O365?
