Q: How can I remove duplicate personal folders from Outlook 2007?

This morning when I turned on my PC and opened Outlook 2007, all of my personal folders had mysteriously disappeared. I immediately started panicking and tried all sorts of things before eventually just closing and reopening the program and finding that my folders had returned. The problem is that a couple of these folders (and not all of them) have now been duplicated and I cannot remove the duplicates.

Can someone help me here?

This seems to describe a larger network or server setup if you have the Microsoft Dynamics CRM, but it wouldn't hurt to look there might be a similar setting for the regular Outlook program.
Make sure that you have Administrator permissions.
Go to Settings > Data Management. (If you have it.)
Choose Duplicate Detection Rules. (If you have it.)
Select or clear the Enable duplicate detection check box. (If you have it.)

I created a .pst export so that I could copy my outlook information from my main computer to a new laptop. It was successful but made a duplicate personal and sub folders on the main computer only. Also on the outlook today page it doesn't make any counts for incoming messages or other countable folders. I can save the sub folder titles to it but it doesn't recognized and put a count in even though I check both areas or just one etc... If I go to the folder from the outlook today page the folder is empty but if I go to the folder from the navigation list I can see the messages and also a count.

Have a look in Libraries>Documents>Outlook Files and see what's in there.

If the exported .pst file is there you can delete it, and then try creating a fresh .pst information file for export.

You should, at some stage in the procedure, be able to choose the location you want to save it to.

What mode do you have running for Outlook 2000?
Corporate/Workgroup (CW) or Internet Mail Only (IMO)
Help>About Microsoft Outlook, should say on the second line.

(CW)Try right clicking on the Personal Folders, select Close Personal Folders.
Tools>Services, Hightlight the Personal Folders you want to Remove and select the Remove button.
You may need to select the Properties button first to see what .pst file it is attached to. I renamed all my Personal Folders with the .pst file so that at a glance I could tell which one belonged.

After removing the Personal Folders list from your Services, you would need to locate the .pst file and delete it.

Let us know if this works for you or if you are using Internet Mail Only.

I have seen alot of threads on this but I still needed some clarification if possible. We have a computer running Windows XP that we did a reinstall of windows. After we did that a duplicate set of personal folders showed up in outlook. Now when we receive email and move to any folder it is duplicated in the second set of folders. Looks to be identical. So both sets of personal folders have emails in them. There is only one .pst file that is very large 4gb. Too large I know and we need to pair it down but my question - is one of the reasons it is so large is because it has 2 sets of all the folders with emails in them? I was going to try to close one set of the personal folders but both of the "close folder" options are greyed out on the menu. Can we delete one set of the personal folders without losing anything in the other set if it seems that everything is going into both identically?

I have set my mother's account up with GMAIL. When she reads her emails her inbox is showing "Personal Folders". I go into Account Settings and try and set her mailbox as default which it will not allow me to do.

Is there a way to just have her email account setup without "Personal Folders"?

Here are the issues with a new installation of Office Outlook 2007.
After the IMAP install I went into tools > options > mail setup > email accounts > datafiles > add > office outlook pst

and the folders and files with the account populated their respective areas.
However I ended up with multiple personal folders.
I have one personal folder above the mail.ourserver.com and three personal folders below the imap mail.ourserver.com

I am tempted to copy the files (inbox, sent, and so forth) from the lower three personal folders into the first listed personal folder ? and then delete those three personal folders leaving one personal folder.

Second: on the imap mail.ourserver.com ?sent? are all the older sents however on the first listed personal folder in that ?sent? box are the current sends? That I cannot figure out?.

And lastly I have four ?Contacts? that I incorporated using tools/options?.
The first three contact folders were old contacts used as historical reference.
The forth contract folder I named ?Contacts 2012?. Though I added the four pst contact folders the Contact 2012 is not listed, and I cannot locate it. However, if I compose an email and bring down from the contact list ? there is listed Contact 2012 ? and then I can add the recipient.

I have two Personal Folders Microsoft Outlook 2007. They both have the same subfolders in them. Is this correct? I've been trying to transfer/import my personal folders into Outlook 2007, in my notebook computer. I haven't been able to do that as of yet but I was thinking that in making several attempts I have somehow duplicated my personal folders in Outlook. I had the same thing in both my desktop and laptop computers. Is there any way of the leading the second Personal Folders in Outlook? Thanks in advance.

Recently I have configured my Hotmail Live email account in Outlook 2007 through POP account wizard. All of my inbox mails got downloaded but my personal folders (Sent, Jobs, Family, Finance, etc.) were not configured / downloaded.

I understand that by installing Outlook Connector I can download personal folders. But I dont want to install Connector as I see people have many problems with that.

I recently upgraded from Windows 98 SE to XP Home. When I did, I opted to use Outlook 2002 rather than Outlook Express which I had used with '98. Two things happened from which I don't seem to be able to recover.

First - I lost all the messages from Outlook Express. I wish I had them back, but I can live without them - so far.

Second - I have somehow acquired a duplicate "Personal Folders" list. I have two "Outlook Today" - [Personal Folders] listed in my folders list. Everything in the first one is duplicated in the second. When I download messages, they appear in both "Inbox" folders. When I add a folder to the first, it appears in the second and visa-versa. If I delete a message in any of the sub-folders. it disappears from the other "mirror" sub-folder.

So far, I have been unable locate an actual duplicate file anywhere. It's almost like Outlook is reading the same file twice and displaying it's contents in two identical folders. Although it doesn't seem to hurt anything, I'd like to get rid of the duplicate displayed folder.

I'm a rookie on this stuff, so any help would be appreciated.

Open Windows Explorer.
Go to Tools-Folder options.
Hit the View tab.
Make sure you ARE viewing hidden files/folders.
Make sure you can SEE file extensions for known file types.

Do a search for *.pst files.

You probably have two in the same location somehow.
Just move one of them someplace else.

You can't do it when Outlook is open. Only when it's closed.

You can also try running Detect and Repair from the help menu.

Hello & HELP!

When opening MS Outlook 2000 (IMO) it said Personal Folders couldn't be located and asked to remake the folder. "Yes" was our incorrect response.

When email opened there were then two complete Personal Folders, the original old one and, now, the new one. All with the basic folders (Sent, etc).

All email is going into the new Inbox where no folders are set up and where the rules are not applying. All sent email is going into the new Sent folder.

I don't want the new Personal Folders, I want my old one to be the only one.

How can I get rid of this new intruder Personal Folders, etal???

I have split my user profile onto a larger mirrored drive using a junction link. This works perfectly. However when viewing my personal folders I see multiple identical icons for favourites, links, my music etc.

When I navigate to the actual area everything appears as it should be.

If I try to delete one of these identical icons then both icons go to the recycle bin along with the files inside the relevant folder.

Please see screen shot. I could recreate my profile and point the new profile at the relevant folders but setting up all my applications again will be a bit of a nightmare that I would like to avoid if possible.

Any advice welcome. This topic does appear to exist elsewhere but with no answer.

Is there a way to remove this duplicate personal folder? I can create a new profile and that doesn’t have the duplicate, but I don’t have my address book in that profile and I don’t think that there is a way to extract the address book from a PST file is there? I checked the data file and there is only one PST file there. Anyone have a suggestion?

My OS is Vista Home Basic and I have duplicate folders of the same size and with the same sub-folders (couple of them Hidden such as AppData), one on the desktop and the other in the C: drive. Can I remove the one on the desktop without affecting the other one? Thanks.

The files in Your desktop and your documents are physically stored on c:\users\user name folder.

Your desktop is just a mirror for that location. Hope this will help

I exported the Outlook data file from the old PC and then imported the data file to the new PC.
I now have contacts and calendar duly in good working order on the new PC.
However, I have two sets of folders for the incoming email account (I have only one email account).
New emails go into a set of folders consisting of Input, Sent and Trash. The imported folders are more extensive, e.g. Purchases, Finance and so on, and are arranged so that I can sort emails using rules.
How can I get rid of the first set of folders and direct new emails into the second set of folders?

In the navigation pane on the left in Outlook 2010 I am getting a duplicate set of folders for one account. I have deleted .pst files and tried to stop the account but the only way I can get rid of the duplicate is to totally remove the account and thereby the folders that I want as well. I have searched Internet forums till my brain hurts but have found no solution. Help - please.

In the Personal Folder located on Vista, there are other folders called Favorites, Contacts, Bluetooth Software, Searches, etc.

I do not need half of these, and have tried deleting them, however they keep coming back.

Is there anyway to permanently remove these?

Hi,

I recently upgraded from Outlook 2000 to 2007 under XP SP2. I have three accounts on the same POP3 server. After installation, it threw errors importing some of my rules and disabled the rest. Some of these rules (now bad) were for moving emails arriving from each account and moving them to the appropriate folder. Since these rules wouldn't import properly (and were disabled) it put all new messages in the same folder. OK, easy enough to fix.

However, whenever I logged on it would also download duplicates of all my messages. Over 5000 messages. Sometimes triplicates. I spent around a day paintsakingly removing these. It's difficult because if I remove the wrong one, it deletes the original from my POP server. In other words, if a particular message has two or three dupes, only ONE of them is truly associated with the original (on server) and therefore cannot be deleted locally. I can however safely delete the other local copies (the original remains on the server). The problem it can be impossible to tell which copy points to the original and which doesn't. It's necessary to archive all messages on my POP server for accessing on other systems so deleting these isn't an option.

I then deleted the old rules and added new rules for putting the messages from each account into their proper folders. I immediately discovered what appears to be a new bug in 2007. Of the three accounts, when I make a rule to move messages received from account#3 and hit... Read more

Update: I just discovered that Outlook just deleted over 1500 emails from one of my accounts off the POP3 server! I have always specified that messages are to be left on the server. What may have done it is the new feature in Account Settings where I Changed the folder in order to tell it where to put the email. Suffice to say I'm quite upset. Does anyone know if there's a way to upload email (intact) back to the POP server?

I have recently reinstalled MS Outlook 2000 and now there are three copies of the Personal Folder. When I click on those folders I get the following message:

"Unable to display the folder. An unexpected error has ocurred. MAPI was unable to load the information service mspst.dll. Be sure the service is correctly installed and configured."

I just installed MS Outlook 2003 on one of my offices users and I imported a second .pst file because some emails went through before I copied the old Outlook.pst file in.

Now here is the problem;

There is currently 2 'personal folders' and when a new email comes in, it goes to both 'personal folders'. Also, when the user clicks on "new" and then clicks on the "to" button to access his address books, he is prompted with an error that one of the contacts list does not exist, to remove the folder. Then he clicked on "OK" to exit the error and the contact list was there.

I would like to know how to remove the second 'personal folders'. Im guessing this is causing the errors (correct me if im wrong), but I cannot find anywhere to remove that folder. Please any help would be highly appreciated.

Second, less important problem;

When I re-install windows and office. I have to keep their old .pst files. Is there a way I can just put the old .pst into the proper place and their accounts will be already activated and the mail will be there. Or do I need to re-add the account. Im kinda confused on if I need to import the .pst or if a simple pasting of the original .pst is good enough.

How can I remove some duplicate folders from Outlook 2010?

The duplicate folders are: “Inbox, drafts, sent items, deleted items, junk email, outbox, RSS Feeds, and Search folders.”

I have tried for years to get rid of the extra folders that are not needed and not used but have not had any luck in getting rid of them.

They even reappear when I reinstall the program.

Microsoft’s help pages do not offer anything that works.

Has anyone here been able to delete this type of extra folders.

When I get an appointment reminder from Outlook 2007, in windows 7, they come as duplicates in the same reminder box. If I have one reminder it shows twice, if I have two reminders they both show twice. Everything comes as duplicates.

Duplicate emails after rules. I hope I can explain what I need. I have several gmail accounts forwarding to Outlook 2007. I have a rule set to forward to a specific incoming folder from Gmail to Outlook and from there to a sub folder. It's forwarding fine but it's leaves a copy in the main folder which clogs up Outlook and I have to delete. I have hundreds of incoming emails. Is there a way to set a rule to delete from the mail incoming folder AFTER it has been forwarded to the sub folder. My current rule is:

Forwards from Gmail to HomeBusiness folder

The rule is as follows:
Apply this rule after the message arrives from (Whomever)
and on this machine only move it to the (whatever) folder

That all works fine. But now there is a copy of the email in the HomeBusiness folder AND in the Whatever folder.

I created a rule to delete it but it's not working:
Apply this rule after the message arrives from (Whomever)
and on this machine move it to the (whatever) folder
and delete it.

This rule is not correct because either.

Any suggestions??? on how to delete the email from the main inbox? but keep it in the subfolder?

I have 1 user who is having email problems. She is one of the older employees at this company and therefore uses PST files for her email.

What appears to be happening is that when she receives an email, it sits in her Mailbox for 30 minutes or more until the user starts messing with Outlook. From this point, the emails either drop to the Personal Folders, or are manually moved.

The delivery is set to Personal Folders.

Has anyone else experienced this problem, and know of a way to get the emails to move to the personal folders in a more timely fashion as they should? I have tried doing a repair on Office, and tried altering some of the NIC settings to no avail. I don't personally have access to the Exchange server.

Update: Well, I think we're just going to change the user to Mailbox, and use the personal folders for archival purposes. However, if you know what the problem is, please feel free to post a fix.

At work this morning, when I opened my email (Outlook 2002) I didn't have a user profile. All my old emails, my address book, and the profile I had been using for years was gone! I know have Outlook Express 6 in addition to Outlook 2002. I have no idea how that got on my computer. I Have scanned my computer for *.pst files to see if they were just hidden somewhere but the search turned up nothing. Two days ago everything was fine, was able to open and check my email with out issue. No one else has used my computer since I last worked two days ago. What could account for this problem and the Outlook Express 6 that is now on my computer? Where has my stuff gone? Is there any way to retrieve it?

Outlook Express is part of Windows, so it was always there. You just didn't use it. If the computer is physically accessible to others, I'd highly suspect someone else used it. No one's going to admit to anything when someone starts yelling about their lost data. It's anyone's guess as to what happened.

If the data is gone, it's gone. Did you have a backup? If not, you can try a recovery application like Recuva.

I have just spent the weekend getting my new HP computer set up, including adding Outlook 2003. I copied over from my old PC (just before the power supply burned up), most of my Outlook 2000 personal folders, one of them was called Saved. I imported them into 2003 Outlook, then deleted the Saved folder. It seems that, in backing up my Outlook pst files on an external hard disk, I have created and now erased backup files that Outlook keeps looking for. In any case, every time I launch Outlook (2000), I get an error message: the f:\outlook 26 sep 06 backup could not be found, followed by a create/open personal folders menu. I need to click OK for the first and cancel for the second for Outlook to then launch correctly. I've also got three 'extra' 'personal folders' folders in addition to my Outlook Today personal folders. Can someone please provide some guidance about cleaning up this mess, while enabling me to continue backing up my Outlook files on my external drive?

When I right click on the personal folders file, and then click on Close "Personal folder", I get an error message - "The operation failed. An object could not be found". My computer is running a Vista Home Premium 64-bit system. Today, all of a sudden about 95% of the icons on the desktop disappeared. I tried control-alt-delete several times, but the system was really locked. I had to push to power button to restart the system. When I restarted Outlook, I couldn't open my outlook personal folders. When I try, I get error messages. One says that the .pst file is already in use an the other says that there is something wrong with the .pst file and to try to use scanpst.exe which I did but no luck. I would like to get the icons back on the desktop and I really would like to have my personal folders back in Outlook. Thanks in advance to any and all help with this.

This morning an extra Personal Folder appeared in Outlook 2000, I'm not sure why. Two personal folders are listed now, the first one is completely blank. It appears to be an exact duplicate of Outlook 2000 default folders, but nothing is in it.

The next personal folder contains all of my emails, contacts, etc.

At first I thought this was not a big deal, because I can just minimize the first personal folder and ignore it.

However, when I compose an email now my contacts list is empty. Outlook seems to be trying to pull contacts from the first folder list.

My operating system is Windows XP.

How do I fix this without losing any emails or contacts? This is a corporate laptop, so it is imperative that I not lose any data.

Any help is much appreciated. Thanks!

Yesterday I wanted to shift one personal folder into another and then all the folders disappeared except for one! That folder does not contain the missing files or content.

Using search I can track the individual emails / content and even see the folders but cannot access them when I double click on them!

I am running Vista Small Business with Outlook 2007 all new. I have not imported from previous Outlook but started from scratch if that helps

Any clues on what to do?

Outlook 2000 "Personal Folders"
I have a workstation w/two Personal Folders. When I try to delete the second folder, (Close Personal Folders) it won't let me since there are data in contacts & calendar.
Any workarounds on deleting this second folder.

Yeah you should be able to go to your control panel and under control panel you should see a mail ICON. Double click on your mail ICON. A menu should pop up with the service tab first. There you should see the personal folder. Delete the one you do not need. When you open up outlook again it should not be there.

After upgrading from XP to Windows 7 (on a new computer) and making several abortive attempts to transfer my Outlook Express Folders and Addresses to Outlook, I have succeeded in making thousands of duplicates before finally "getting it right." Is there an easy way to globally delete duplicates rather than doing them one at a time?

I suppose I could delete all the folders and addresses and start over with the successful transfer method. If I did this how would the deletion process work? The latter method kind of scares me because I have over 14 years of data invoved.

Thanks for any suggestions.

What I would do is export the addresses from Outlook Express to a Excel spreadsheet. Check them and make sure it looks complete. Go into your Outlook Address Book. You can hold down Shift and Page Down and it will highlight all adresses. When they are all highlighted, just hit delete. That should get rid of them. You can then import the spreadsheet with the correct Address Book and you should be in shape. It shouldn't take too long.

Hi All,
We are using Exchange with Outlook 2007. Under My Contacts I've created several categories of contacts such as business and personal. The problem happens when both contact lists have the same contact, such as John B. Smith, but the business contact was updated with a new phone number, let's say. So I copy, using the Edit menu, the up-to-date contact from business and paste, using Edit menu, to personal. I get a Duplicate Contact Detected window showing me what was updated. The problem is that the Notes for this Contact are now duplicated, and it shows that Notes are "Updated" in this Duplicate Contact Detected window.

Is there any way to copy contacts without having the Notes duplicated like this?

I suddenly have thousands of "new" messages on Microsoft Outlook 2007 -- it is re-downloading msgs i received in the past into my inbox. How can I make this stop?
I was going to follow a suggestion I found of unchecking "leave a copy of msgs on server", but I can't locate that in any of the options or preferences. where is it? or is there something better to do?

in pop settings you should see the option
BUT if you do change that - it will delete all the messages from the server and then you wont have a copy other than whats on the PC PST file for outlook

Personally i would probably just let them arrive and deal with the duplicates

Hello. When I got my new HP Windows 7 laptop several months ago I installed Office 2013. I recall at the time importing more than one personal folder into the new Outlook. Enough time has passed that I'm ready to get rid, if I can, of the annoyance having folders I don't use in the folder list on the left. Maybe I should be using them but I don't.
 
From the top: first I have personal folder with subfolders inbox, drafts, sent, etc.As far as I know I don't use these folders at all and I have cut and moved most of the messages in them to the second folder list.
 
The second list is [email protected] There I also have subfolders inbox, drafts, sent, deleted as well as the many other subfolders I've created for various needs.
 
So, can I get rid of the personal folders listed first? Should I keep them? If so, can I hide them somehow?

Originally in the navigation pane of my Outlook 2007 Contacts I had 2 types of contacts folders, one named "Contacts" and the other named "Contacts in Personal Folders". I entered some different contact information into each of theses. Suddenly without me noticing that I did anything in settings or otherwise I lost the "Contacts in Personal Folders" from my navigation pane and when I look through only remaining- "Contacts" folder on navigation pane I have all contacts I enterred into the "Contacts" file but I do not have any of the information -contacts _ I entered into "Contacts in Personal Folders" folder in navigation pane that vanished. Also when I was saving I noticed that when I clicked on "Contacts in personal folders" in navigation pane the box to enter info (Business cards view) had on the bottom of it a box checked saying in "in personal folders". and the info box of the group under folder named "Contact" only screens (that is now the only one visible) did not have that check-box. Now I lost -at least cannot find ton of information _contacts_ I entered into that list (Contacts in personal folders) I do not understand why it dissapeared, also not clear what is the difference between the two "contact" folder types I always accessed any contacts by clicking the appropriate folder in the navigation pane and do not know how to access n other way if possible.the information... If I never deleted some personal folders, they still have to be there somewhere right? If someone clicks CLOSE PERSONAL FOLDERS, does that delete them? There has to be a way to restore them if they are missing from the Mailbox tree.

Hi, jgadrummer:If all you did was use the option to Close Personal Folders, the file will still exist somewhere on your computer. If you can find the personal folder file(.pst), you can add it back to Outlook by using the Mail icon in the Control Panel. Click Data Files..., Add..., follow the rest of the prompts by selecting the proper personal folders file type, and locate and select your Personal Folders file. By default, mine opened in the folder location where the existing personal folders file was located.Hope that helps,

Backing up your Microsoft Outlook information is quicker and easier with the Personal Folders Backup feature. Personal Folders Backup creates backup copies of your .PST files at regular intervals, in Outlook 2000 and later versions, making it easy to keep all of your Outlook folders safely backed up.

With Personal Folders Backup, you can choose which of your .PST files you wish to back up, and how often you wish to back them up.

Each .PST file contains all of your Outlook folders, including the Inbox, Calendar, and Contacts. You can have a single .PST file (usually called "Internet Folders" or "Personal Folders" in your Folder List), but you might also have an additional .PST file that you use for archiving ("Archiving Folders"). Personal Folders Backup lets you back up any or all of these .PST files.

Note Personal Folders Backup only backs up .PST files. If you have a Microsoft Exchange Server mailbox, your server mailbox folders are likely backed up regularly by your server administrator.
